Position Summary :

Reporting to the Business Office Manager the Contracts Clerk will contribute to the success of our dealerships by providing prompt, quality processing of contracts, collections of monies, and payments to ensure efficient maintenance and accurate balances.

Essential Duties and Responsibilities :

The essential functions include, but are not limited to the following :

  • Maximize profit retention, financial reporting, and administration.
  • Effectively communicate with Finance, Sales Managers, Service Managers and Parts Managers to strengthen processes.
  • Maintain organized system of physical and digital records for all sales contracts.
  • Audit car deals and contracts for proper documentation and compliance requirements.
  • Accurately review, account for, and submit all aftermarket products sold on car deals.
  • Accurately record the sale, profit, and commissions payable of all retail sold units.
  • Process trade payoffs in accordance with company standards.
  • Post all funding notices daily.
  • Accurately maintain a clean schedules. Including but not limited to Contracts In Transit, Customer Down Payments, Due Bill, Vehicle Incentives.
  • Process all aftermarket cancellations in a timely manner.
  • Purchase new and used vehicles into inventory.
  • Process Dealer Trades.
  • Seek ways to improve business operations, efficiencies, and customer service, and make recommendations to Business Office management.
  • Operate with integrity.
  • Demand the highest ethical standards from self and others.
  • Assist, through conscientious completion of duties, in protecting the legal, financial, and moral well-being of the company.
  • Set an example of positive attitude and professionalism, including a neat, orderly, and safe work environment.
  • Maintain ability to handle job stress and effective interaction with others in the workplace.
  • Maintain composure within the workplace or outside the workplace when representing the company.
  • Perform other duties as assigned by ownership, upper management and / or immediate supervisor.

Minimum Qualifications (Knowledge, Skills, and Abilities) :

Experience, Education, or Skills Required :

  • Minimum of 3 years work experience as a Contract Clerk or relevant role in automotive.
  • Understanding of accounting fundamentals.
  • Working knowledge of Outlook and Microsoft Office applications
  • Excellent written and oral communication skills. Must have the ability to compose clear and concise corresponding regarding the relevant subject matter.
  • Ability to multitask and prioritize effectively.
  • Fantastic organizational and interpersonal skills; and ability to work in team environment.
  • Possess the energy and drive to accomplish goals, meet tight deadlines and find solutions.
  • Strong decision-making and problem-solving skills.
  • Preferred Qualifications :

  • Automotive Industry experience
  • Reynolds and Reynolds experience
  • Bilingual in Spanish
