At Pavelka, we are experiencing an exciting period of growth. To support this momentum, we are seeking a highly organized and proactive Executive Assistant (EA) to work closely with our CEO. This individual will be a trusted partner, ensuring the CEO is well-prepared, supported, and focused on strategic priorities. The EA will manage day-to-day operational and administrative responsibilities while also contributing to communications, presentations, and special projects.
Objectives of this Role
- Provide high-level administrative and operational support to the CEO.
- Ensure seamless coordination of the CEO’s schedule, travel, and priorities.
- Support internal and external communications by transforming ideas into clear, effective written and visual materials.
- Assist in presentation and content creation, helping convey the CEO’s vision to stakeholders.
- Serve as a reliable partner to both the CEO and Leadership Team, ensuring tasks move forward efficiently.
Key Responsibilities
In-Person Meetings & Support : Meet regularly with the CEO in person to review upcoming agendas, priorities, and action items. Attend meetings as needed to take notes and ensure follow-through.Calendar & Travel Management : Manage the CEO’s calendar with attention to detail, connecting the dots across meetings, adding preparation time where necessary, and coordinating travel, hotel, and related reservations.Executive Communications : Extract key ideas from the CEO and translate them into emails, talking points, and written content in the CEO’s voice.Presentation Development : Create professional presentations from concept to completion using Canva, PowerPoint, or similar platforms.Expense Management : Track receipts, manage expense reports, and ensure timely submission and reconciliation.Required Skills & Qualifications
5+ years of experience supporting senior executives in a fast-paced environment.Exceptional organizational skills, with the ability to manage multiple priorities and deadlines.Strong written communication skills, with the ability to draft clear and concise content in another’s voice.High proficiency with Microsoft Office Suite, Canva, PowerPoint, and related tools.Detail-oriented with a high degree of accuracy in administrative and financial tasks.Ability to handle sensitive information with professionalism and discretion.A collaborative mindset, with flexibility to support both the CEO and wider team.
