Job description

Transportation Assistant

The incumbent independently manages the Medical Center's Beneficiary Travel Program and Veteran Personal Finance System and serves as the office's Fund Control Point Clerk. Responsibilities major duties include, but are not limited to :

  • Functions as the primary liaison between the program office and fiscal and administrative offices inside and outside the organization.
  • Coordinates all inpatient / outpatient transportation requirements for the facility.
  • Independently determines travel eligibility, validates need for transportation, and determines appropriate mode of transportation prior to initiating transportation consults.
  • Researches all incoming veteran transportation invoices for validity and method of payment utilizing the Computerized Patient Record System (CPRS). Audits completed invoices and final certification prior to payment.
  • Initiates payment process within appropriate fund control point for mode of transportation / type of payment and track payment to check date.
  • Receives beneficiary travel claims, identifies type of travel benefit claimed, checks for completeness, and institutes all requests for additional information before determining legal eligibility.
  • Develops evidence, determines eligibility and entitlement, and either grants or denies travel claims.
  • Initiates, or accomplishes as requested all required fiscal reporting on fund control point activities and forwards through station chain of command to the Fiscal Office as needed.
  • Documents and prepares monthly account synopsis for contracting officials in Acquisition & Materiel Management Service quarterly to justify yearly ambulance contractual compliance.
  • Works closely with VIRS staff to arrange for travel of community patients.
  • Responsible for balancing, reconciling, and adjusting invoices for payment.
  • Conducts training to staff regarding travel regulations and completion of claims.
  • Serves as back up to the Travel Voucher clerk.
  • Performs other related duties as assigned.

Work Schedule : Monday - Friday, 8 : 00am - 4 : 30pm PST

    Qualifications :

  • To qualify for this position, applicants must meet time-in-grade requirements and specialized experience within 30 days of the closing date of this announcement, 11 / 03 / 2025.
  • Time-In-Grade Requirement : Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements within 30 days of the closing date of this announcement.
  • For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.
  • You may qualify based on your experience as described below :
  • Specialized Experience : You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to :
  • Interpreting transportation regulations to perform a wide variety of transportation support assignments and resolve a wide range of problems.
  • Organizing and maintaining documentation and records supporting beneficiary travel reimbursements and vendor payments.
  • Validating, controlling and maintaining accounting records for many travel accounts and making frequent dollar amount adjustments of those accounts.
  • Ensuring compliance with procedures for obligating travel funds.
  • Entering and tracking data related to transport workload.
  • Ability to independently plan and carry out successive steps to complete transportation support duties.
  • Processing beneficiary travel reimbursements
  • Knowledge of various software such as word processing, spreadsheets, patient scheduling programs, transportation service program packages, etc.
  • Promptly communicating with patients and customers to enhance customer experience.
  • NOTE : Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week.
