Responsibilities
General Purpose : With minimum direction and considerable latitude for independent judgment, this position combines academic program coordination with specialized support for digital learning platforms. Coordinates and supports the Master of Science in Dental Sciences Program, while supporting faculty in delivering high-quality courses through Blackboard Ultra. This position manages day-to-day program administration, provides guidance to students and faculty, ensures compliance with institutional standards, and maintains a reliable and accessible digital learning environment.
Essential Functions
- Master of Science : Recruitment, Onboarding and Orientation
- Manage student onboarding and orientation to ensure a seamless transition into the program.
- Advise students on academic planning, course registration, and program of study development.
- Maintain accurate student records and documentation in accordance with university and accreditation standards.
- Coordinate program meetings, communications, and required reporting to university offices, including the Provost's Office and Institutional Reporting.
- Monitor compliance with institutional policies and accreditation requirements.
- Coordinate and Deliver Program Support
- Coordinate and provide administrative support to the Program Faculty, Supervisor, and / or Assistant Director of Education.
- Anticipate needs and prioritize tasks among competing demands within the Program(s).
- Completes tasks as assigned.
- Provide support to Program(s) as needed for curriculum / educational materials for trainees and for routine and / or special projects, as needed.
- Process financial transactions and reimbursements.
- General Administration of Day-to-Day Operations
- Drafts routine correspondence, performs copying and scanning assignments, as needed.
- Maintains and distributes meeting schedules.
- Maintains master calendar of events.
- Distributes educational curriculum materials.
- Provides general assistance with other routine business, special events and / or special projects.
- Provides didactics communications, including coordinating presenter switches for course cancellations.
- Learning Technology Support
- Assist faculty in building, organizing, and maintaining Blackboard Ultra courses to ensure accuracy, consistency, and timely availability.
- Integrate and support instructional tools such as Panopto for lecture capture and Qwickly for attendance and course management.
- Be present online during scheduled lectures to launch attendance, record sessions, and upload recordings to Blackboard.
- Troubleshoot technical issues for faculty, staff, and students related to Blackboard Ultra, Panopto, and Qwickly; escalate complex issues as needed.
- Serve as a liaison with the Blackboard team to coordinate faculty training, share system updates, and identify opportunities to enhance teaching with Blackboard tools.
- Provide excellent customer service through clear, professional, and timely communication in person, by email, or by phone.

Minimum Education & Experience
Associate's degree RequiredBachelor's degree preferred3 years of progressively responsible experience in administrative support RequiredOr equivalent combination of education and experience.
