JOB SUMMARY
The Executive Assistant will manage complex scheduling, board communications, governance documentation, and cross-functional coordination with professionalism. This individual will play a key role in upholding the Club's standards of excellence and confidentiality, while fostering effective communication between leadership, committees, and members.
DUTIES AND FUNCTIONS
- Coordinate and manage all Board of Governors meetings, including scheduling, agenda preparation, material distribution, and minute-taking.
- Track and follow up on Board action items to ensure timely execution and accountability.
- Maintain the Boardroom calendar and schedule select appointments for the General Manager.
- Oversee the maintenance and secure storage of governance documents, including Board minutes, SCC Bylaws, Membership Rules & Responsibilities, Committee records, and orientation materials.
- Ensure timely updates and distribution of key documents such as the Annual Report, Board election ballots, and Committee guidelines.
- Serve as a liaison between the General Manager, Board, and Committees to support strategic initiatives, timelines, and communications.
- Assist in planning and executing governance-related events such as Town Halls and Annual Meetings.
- Reconcile and code General Manager's credit card expenses.
- Order administrative supplies and business cards for department heads.
- Respond to general membership inquiries with professionalism and discretion, representing the General Manager and Board with a high standard of service.
- Support the General Manager with special projects and initiatives as needed.
QUALIFICATIONS
Minimum of 5+ years of executive-level administrative experience, preferably in a private club, hospitality, or corporate governance setting.Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).Exceptional written and verbal communication skills.Demonstrated ability to manage sensitive information with discretion and integrity.Strong organizational and time-management skills with the ability to prioritize and execute multiple tasks independently.This role will start no later than mid January 2026. Full-Time - 5 days per week on-site : Monday-Friday, 9-5 PM.
