Administrative Support Specialist
LOCATION : Hanscom AFB, MA
JOB STATUS : Full-time; salaried
CLEARANCE : MUST have an active US Secret clearance
Salary Range : Between $75,000 and $100,000 (depending on customer requirements when awarded)
Astrion has an upcoming opportunity for a Administrative Support Specialist providing support to the Force Protection Divison (AFLCMC / HBU), which is within the PEO Digital Directorate (AFLCMC / HB) and located at Hanscom AFB, MA.
- We anticipate this position to come on contract in December 2025 as it'll specifically be supporting the Foreign Military Sales (FMS) branch of the HBU Division.
REQUIRED QUALIFICATIONS :
Bachelor's Degree in a related field and 5 or more years of experience in the respective technical / professional discipline being performed, five of which must be in the DoD.Must be a US citizen with an active US security clearance.PREFERED QUALIFICATIONS :
Prior Foriegn Military Sales (FMS) experienceRESPONSIBILITIES :
Ensures the leadership is kept informed of all issues of interest that relate to the mission of the directorateMonitors progress toward accomplishment of various taskings and initiatives.Provides support by supplying the information and background for the preparation of program eventsDrafts documents for the approval and signature of leadershipDisseminates program policy and specific initiative guidance for members of the organizationCoordinates, documents, monitors, and supports a variety of meetings and conferences to include, but not limited to, scheduling and set up of physical and virtual meetings and in support office staff and external participatesPrepare background information and invite required meeting participants ensuring documentation of the meetings are filed IAW organizational policyDocumentation may include but is not limited to attendance logs, minutes and / or action items with corresponding action officersMaintains scheduling documents and requirements for video and online conferencing set up and execution, which may include but is not limited to the maintenance logs on the equipment, the corresponding instructions on equipment set up, and meeting executionPrepare correspondence, reports, papers and briefings IAW applicable policies and templatesMaintain appointment calendars and conference room schedulesAnswer telephones, forward messages, and provide responses to routine queriesAssist with coordination, consolidation, analysis, distribution and monitoring of action items, suspense's and responsesProvide inputs and recommendations regarding administrative and office management processes and proceduresAssist with preparation of and updates to program office file management documentsPrepare agendas, reports and briefings for staff meetingsAssist Government with management of organization's workflowAssist with travel planning, travel arrangements and execution IAW with the Defense Travel Administrator's Manual utilizing the Defense Travel SystemAnswer telephones, forward messages to appropriate Acquisition program team members, as required, and provide Government initiated / approved responses to routine queries#CJ
