Part-Time Nonprofit Administrative Coordinator

Location : Kirkland, WA (Remote – must reside within 1hr of Kirkland WA)

Hours : Part-time, 10–20 hours per week (flexible within Mon to Fri 7 AM–6 PM)

Salary : $28 / hr

About the Role

We are seeking a detail-oriented and proactive Administrative Coordinator to provide part-time support for data entry, gift processing, and general administrative tasks. This temporary position offers an opportunity to contribute to a mission-driven organization supporting women’s education and career advancement, with potential to transition into a permanent role.

The ideal candidate is highly organized, comfortable managing multiple systems, and has experience in nonprofit administrative operations.

Key Responsibilities

  • Perform accurate and timely data entry and record-keeping
  • Process donations and gifts received via mail or directly into the bank account
  • Generate and send acknowledgment letters and donor receipts
  • Reconcile data across NetSuite, QuickBooks Online (QBO), and Bloomerang (fundraising system)
  • Support fundraising, financial, and scholarship-related administrative tasks
  • Enter credit card and staff expense reports
  • Assist with journal entries for investment systems (primarily data entry)
  • Track personal time submissions via JotForm
  • Monitor dashboards and alerts in NetSuite for pending tasks

Qualifications

  • Proven experience with back-end data entry and administrative systems
  • Strong written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to multitask and switch between multiple systems efficiently
  • Familiarity with nonprofit processes and formal tax receipt language preferred
  • Proactive and independent problem-solving skills
  • Must have own laptop / equipment for remote work
