Overview
The Program Assistant provides administrative support to a large department or program within the Forensics Department. This role supports day-to-day operations by balancing multiple priorities and working closely with the Director of Program Operations and Graduate Directors to advance department and University goals. The position is suitable for an organized, proactive individual who thrives in a collaborative academic environment.
Responsibilities
- Serve as the primary point of contact for departmental inquiries; maintain an organized and welcoming office.
- Respond to emails and phone calls, manage photocopying, and handle supply orders and inventory.
- Coordinate course schedules for undergraduate and graduate programs.
- Support marketing efforts by creating target lists and distributing graduate program materials.
- Act as a liaison to the campus bookstore; submit facilities and IT requests for classrooms and offices.
- Coordinate departmental scheduling needs and support department events.
- Take meeting minutes and distribute them promptly.
- Support faculty searches and hiring processes, including onboarding; hire and supervise student workers.
- Maintain and update the department's website; manage purchases and monitor the supply budget.
- Support the use of Workday and other university systems for daily operations.
Qualifications
Education : Associate's degree required; Bachelor's degree preferred.Work Experience : 3 - 5 years of relevant experience.Knowledge, Skills, and Abilities :Office practices, procedures, systems, and equipment.
Ability to manage multiple phone lines with professionalism and customer service excellence.Proficiency in Microsoft Office products (Word, Excel, PowerPoint, Outlook) and data systems.Excellent written and oral communication, strong organizational skills, attention to detail, and multitasking ability.Budget preparation and reporting; discretion and confidentiality.Experience in event planning, coordination, and supporting university-wide goals and diverse environments.Physical / Environmental Demands
