Clinic Assistant

We are seeking a Clinic Assistant to support the daily operations of one of our outpatient clinic locations. This role is essential in ensuring smooth clinic functions, supporting staff, and upholding the high standards of care Alliance provides.
The Clinic Assistant is responsible for overseeing day-to-day clinic operations in an efficient and professional manner. This individual will be a proven multi-tasker who will provide direct administrative supervision to assigned clinic staff. They will also support clinical leadership / VP of Outpatient, and ensure compliance with agency policies and regulatory standards.
Supervisory Responsibility : Assigned administrative staff at designated clinic location.
Knowledge, Skills, and Abilities :
- High school diploma or equivalent required
- Strong organizational skills with attention to accuracy and detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities effectively in a fast-paced environment
- Proficiency with Microsoft Office Suite and related software systems
Key Responsibilities :
Ensure site compliance with required postings, inspections, fire drills, and emergency proceduresAssist clinic leadership with operational, security, and compliance matters, including licensure and accreditation requirements (CARF / CCBHC)Review caseload reports and staff schedules to support clinic efficiencyManage supply purchasing, receiving, and documentationProvide administrative supervision and handle disciplinary actions for clinic administrative staffApprove and monitor timekeeping (ADP) and leave requests for administrative staffConduct quality audits of administrative staff in collaboration with ComplianceOversee facility needs, including maintenance requests, housekeeping, and safety requirements (e.g., childproofing common areas)Coordinate mail, deliveries, and clinic equipment servicingSupport CARF / licensure inspections and prepare required documentationAssist clinic staff with client needs, including intake support and crisis situationsMaintain daily operational records as requiredMaintain Bed Bug procedures.Provide coverage and support for front desk, intake, and medical records as neededPerform end-of-day facility checks to ensure safety and securityComplete other duties as assignedPosition Details :
