POSITIONSUMMARY
This position is the first point of contact for the Community Health Aide Program’s office at Maniilaq Health Center in Kotzebue. They provide administrative and clerical services in support of the largest field program at Maniilaq Association. They make travel arrangements and communicate travel plans for all field staff traveling with CHAP. Administrative Coordinators are accountable for general office organization to include filing, scheduling, making supply/equipment orders, transferring work orders to appropriate departments, and general receptionist duties. This position reports directly to the CHAP Executive Assistant.
PRINCIPALDUTIESANDRESPONSIBILITIES
l.Provides administrativesupport for the daily operations of 11 rural village health clinics.
2.Arranges flights, travel requisitions, lodging, and other travel accommodations for CHAP field staff.
3.On a daily basis, updates and maintains electronic schedules for CHAP’s traveling field staff.
4.Assists with transportation, on-boarding, and arranging training schedules for CHAP’s new hires.
5.ServesasreceptionistfortheCHAP office at Maniilaq Health Center in Kotzebue.
6.Demonstratesproficiencywithcomputerprogramsto record meeting minutes and provide written correspondence of minutes.
7.Develops andmaintainsthe paper and electronic filingsystemsforCHAP.
8.Demonstrates exceptional customer services skills and holds all staff members accountable for a positive customer service attitude at all times.
9.Serves as a resource of the variety of standard forms that health clinics use on a routine basis (e.g. leave requests, dietary orders, central supply order forms, etc).
10.In support of village health clinics, orders supplies and equipment following our procurement process and ensure orders are tracked, received and distributed accordingly.
11.Responsible for printing personnel paperwork and leave requests; moving them through the chain of command for signatures.
12.Connects village clinic work orders to the appropriate departments for follow-up.
13.Cross-trains relief Administrative Coordinators and ensures coverage for the CHAP office at Maniilaq Health Center.
14.Evaluates administrative workflows and recommends process improvements; developing new effective/efficient workflows when necessary.
15.Performs other duties as assigned.
Job Qualifications: MINIMUM REQUIREMENTS
High School graduate or equivalent. Preferred 2 years’ experience using Microsoft Office, creating and maintaining filing systems, or creating business reports. Must possess excellent customer service, the ability to multi-task, and be able to work effectively under pressure. Must possess a valid Alaska Driver's license, clear a driving background check, and become an approved Maniilaq driver.
