Job Description

The person hired is expected to be a contributing team member of IHD by supporting the mission of IHD to promote the full inclusion by advancing altitudes that value persons with disabilities and enhancing access to all aspects of the human experience and to align themselves with the primary vision of IHD that people with disabilities fully participate in all of life experiences.

The Institute for Human Development (IHD) - one of the oldest institutes at Northern Arizona University - is searching for a Grant and Project Support Coordinator, Intermediate or Senior to (a) serve an integral role on the research and evaluation team for coordinating post-award aspects of grants and contracts that have financial implications, (b) assist PIs with ongoing communication across NAU systems and project partners, and (c) provide general project support for launching new projects and wrapping up projects when near completion.

This position may include training and supervising administrative staff, graduate, and undergraduate student workers in activities relating to grant proposal development and budget monitoring and reporting.

Essential Functions

INTERMEIDATE LEVEL

Pre-award : Grant / Agreement Development & Submission - 65%

  • Coordinates and supports the development and writing of grant proposals, including large, interdisciplinary proposals involving faculty and staff in different departments, colleges, and units at the university as well as partners outside the university and international collaborators and resources.
  • Works with IHD faculty and staff to develop grant proposal budgets and ensure that project budgets are in line with project needs and are within the guidelines of the funding agency and NAU.
  • Creates budget narratives.
  • Drafts Letters of Support and works with partners to obtain letters.
  • Assists in the identification of other required documents (e.g., bio sketches, consortium agreements, subrecipient documents).
  • Assist in the development and finalization of all grant or contract requirements.
  • Assists in formatting proposals to meet agency requirements and guidelines.
  • Coordinates communication with subrecipients and assure all subcontract documents are complete for submission.
  • Acts as pre-and Post-award resource for all Institute personnel, with advanced knowledge of policies, practices, and procedures.
  • Thoroughly researches sponsor guidelines for each proposal submission.
  • Acts as liaison with Pre-Award Sponsored Projects team to ensure all documents are completed and submitted on time.
  • Process and submit all forms needed in the Cayuse system (or other system as dictated by funding agency).
  • Serves as an editor for the Institute's projects and programs and grant proposal development and submission.
  • Reviews, routes, and monitors contracts for authorized signatures.

Post-Award : Financial Coordination & Sponsored Project Budget Monitoring - 20%

  • Provides ad-hoc and back-up support to monitor spending on grants and works with other IHD personnel and the PI to ensure that expenses are being made in accordance to NAU and funding agency regulations.
  • Monitors and maintains a system for recording and tracking grant / agreement proposals, awards and award amounts for the entire Institute.
  • Enters submission information into the National Information and Reporting System (NIRS).
  • Maintains a system of recording regarding funding agency requirements and forms, reference documentation, investigator profiles and curriculum vitae, abstracts and reference literature, and other pertinent material, ensuring integrity that meet legal, auditing, and foundation requirements.
  • Applies knowledge of the granting agency and federal requirements, in accordance with Uniform Guidance requirements and cost principles, by advising IHD Directors, Assistant Directors, Program Directors, and others on the procedures, policies, and parameters of the grant sponsored project.
  • Provides back-up support regarding No Cost Extension and Advance Account requests.
  • Assists with budget amendments submissions on request.

Post-Award : Report Preparation & Submission - 5%

  • Collects information needed for funding agency reports, and for submitting these reports.
  • Supports IHD PIs with annual, final, and other reporting needs.

Project Support - 5%

  • Coordinates communications about new projects and key project activities across IHD and when appropriate with the university and other academic units.
  • Collaborates with IHD personnel to coordinate IHD internal research activities and deliverables.
  • Collaborates with project team to establish shared communication, file sharing, and shared data management systems for maintaining project organization.
  • Complete reports that must comply with unique database requirements, e.g., NIRS platform.

Other - 5%

Attend trainings, meetings, and attend to other duties as assigned.

SENIOR LEVEL

Minimum Qualifications

INTERMEIDATE LEVEL

  • Associate or Bachelor's degree in business or related field AND
  • 2-4 years of accounting or finance experience; OR
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

SENIOR LEVEL

  • Bachelor's degree in business or related field AND
  • 3-5 years of accounting or finance experience; OR,
  • Any combination of relevant education and expereince may be substituted for the educational requirement on a year-for-year basis.

Preferred Qualifications

INTERMEIDATE LEVEL

  • Master's degree in accounting, business, finance, or related field.
  • Three years' experience in fast-paced, grant-funded research environment.
  • Two years' of related experience with internal NAU grants, contracts, and finance procedures.
  • Extensive knowledge of internal NAU processes and collaborative functions between researchers, academic units, Office of Sponsored Research, Contracts and Purchasing Office, and interfacing platforms (i.

  • Demonstrated current and in-depth knowledge of Office of Management and Budget 2 CFR 200, the Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards.
  • Knowledge of state and federal regulations pertaining to sponsored project budgets and accounting practices.

Background Information

This position has been identified as a safety / security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following : a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting.

Finally, each year Northern Arizona University releases an Annual Security Report . The report is a result of a federal law known as the Clery Act.

The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus.

In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing.

This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

Salary

The anticpated salary range for the Intermediate Level position is $41,421 - $51,776. Annual salary commensurate with candidate's qualifications and related experience.

The anticpated salary range for the Senior Level position is $47,634 - $59,542. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance;

participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents.
