Job Description : The Intake Assistant serves as the primary point of contact for clients, focusing on professional, courteous, and efficient communication by phone. The Assistant is responsible for answering and returning calls, conducting client intake interviews, collecting and recording information, assisting clients in completing funding applications over the phone, and ensuring documentation is accurately submitted for approval and payment processing. This role requires strong verbal communication skills, attention to detail, and a commitment to providing exceptional customer service. Training can be provided to develop subject-matter expertise in necessary topics and funding opportunities.
Duties :
- Answer and return a high volume of incoming and outgoing client calls in a professional and timely manner
- Conduct phone-based intake interviews to collect and verify client information
- Assist clients with completing and submitting funding applications over the phone
- Accurately record and update client information in internal databases and tracking systems
- Follow up with clients to provide updates, clarify information, or request additional documentation
- Present Energy Assessment results to clients via video call, phone, and / or in person
- Submit completed applications for funder review and approval
- Coordinate payment requests and confirm completion of required documentation
- Maintain organized records and ensure data integrity across all client files
- Collaborate with staff and managers to support smooth program operations
- General office duties including scanning and filing
