Legal Assistant
JOB SUMMARY :

Every day is different from negotiating contracts, purchasing real estate, litigating lawsuits and managing company records to addressing environmental matters and ensuring international trade compliance.
The right person will maintain a positive attitude while managing competing departmental demands and will respect the confidential nature of the work we do.
Strong organizational skills, flexibility and a high comfort with technology are essential. The position is located in Charlotte, NC and reports directly to the General Counsel.
Key Responsibilities (not all inclusive) :
Legal Administrative Duties
- Facilitate workflows and communication to ensure that client requests are timely met.
- Administer real estate leases and related holdings, including serving as primary contact for landlords, railroads, and other third parties;
maintain database for lease payments and renewal dates.
- Serve as Records Coordinator for the Legal Department, Department of Environmental Affairs and Sustainability, and Trade Compliance and maintain files in accordance with applicable record retention policies.
- Maintain and organize electronic and paper files.
- Provide data entry support with respect to the contracts and real estate databases.
- Support department efforts to respond to document subpoenas, including reviewing documents and redacting records prior to production
- Coordinate with Human Resources, Payroll and Plant personnel to ensure timely handling of employee wage garnishments and filing of corresponding answers to court orders.
- Support department efforts to protect patents, trademarks and other intellectual property, including administering and responding to emails regarding the Unsolicited Idea program.
- Provide administrative support to department attorneys, including travel management, expense reports, incoming and outbound correspondence, word processing, spreadsheet and database administration, and other administrative tasks, as needed.
Accounting Duties
Review and process invoices from law firms and other service providers; coordinate payments for areas of department responsibilities;
track all payments against department budget.
- Coordinate check and wire payments to third parties.
- Prepare budget reports for the Legal Department, Records Management, and Environmental Services and Sustainability Department monthly and annually, or as requested.
- Prepare preliminary annual department budgets for review.
Other Duties :
- Schedule department meetings.
- Manage attendance calendar for all Legal Department personnel and individual calendars for department attorneys.
- Administer scheduling and calendar management of Legal Conference Room.
- Manage contact lists.
- Maintain current certification as a Notary Public and provide notary services as needed.
- Draft routine correspondence and Federal Express labels.
- Maintain and order forms and supplies for department.
- Research and complete special projects as assigned.
Qualifications :
- Positive, flexible and customer service-based attitude and desire to learn.
- Prior administrative / secretarial work at the executive level in a corporate law firm or corporate legal department preferred, but willing to train the right person.
- Detail-oriented self-starter with excellent organizational skills, time management skills and ability to appropriately prioritize tasks.
- Exercise discretion, judgment and sensitivity in handling highly confidential company information and issues.
- Comfortable and proficient with technology (including Microsoft Office programs) and open to learning new processes, programs and / or software.
- Excellent written, verbal and interpersonal communication skills.
- Enjoy working both independently and as part of a team to handle a large volume of work and juggle multiple demands.
- Good sense of humor.
- Ability to lift items weighing up to 25 pounds.
- A willingness to travel as much as 10% of the time.
- Hybrid work schedule ineligible.
