The Business Operations Specialist performs an array of duties across several departments. The associate is responsible for receiving contracts, mostly from the Sales Department, verifying they adhere to legal, regulatory, and Company-specific requirements. This person analyzes contract terms to identify potential risks and negotiates effectively to achieve a mutually beneficial outcome for both the Company and the customer. The Business Operations Specialist works with the COO to coordinate facilities’ maintenance, construction projects, and relocation efforts for our six office locations across the US. Other duties include maintaining our main software platforms (no-code) : Acumatica, HubSpot etc.
This is a hybrid workplace requiring office attendance approximately 24 hours per week including every Tuesday.

WHAT YOU WOULD BE DOING
- Review customer contracts, proposals, purchase orders, and terms & conditions to identify risk areas such as liability, indemnification, insurance requirements, and scope mismatches with assistance with the assistance of an AI powered platform.
- Flag and escalate non-standard or high-risk terms to management or legal counsel for review.
- Maintain a record of all active contracts, terms changes, and approvals for audit traceability.
- Ensure contract templates and standard language are current and align with Company standards.
- Review, redline and suggest mutually beneficial language for all Company commercial sales, state, and federal contracts that pertain to the selling of goods, lease and contracts.
- Act as a liaison between the Sales, Safety, Accounting, Operations and other departments to gather necessary information and approvals.
- Works with the COO on lease terms for buildings and other contracts as it relates to facilities.
- Coordinate and manage building construction, renovations and site improvements including routine building maintenance for each of our 6 physical office locations.
- Develop and maintain relationships with Company contractors, vendors and landlords.
- Review negotiate and maintain contracts for landscaping, snow removal, building cleaning services, HVAC, Pest Control etc.
- Coordinate maintenance and updates of Company main software platforms including Acumatica ERP, HubSpot, and Power BI as well as support updates to system documentation, training guides, and operational SOPs.
- Assist in user support for simple configuration, permissions, and workflow troubleshooting (non-technical admin level) for main software platforms.
MINIMUM REQUIREMENTS TO APPLY
High School diploma is required. A bachelor's degree in business administration, legal studies, or a related field is preferred. 4 years combination of college and recent related experience is acceptableWorking knowledge of contract terminology and risk identification in customer-facing agreements.At least 1 year of prior experience analyzing contract terms to identify potential risks.Prior experience of contract negotiating effectively to achieve a mutually beneficial outcome for both the Company and the customer.Proven experience in managing multiple projects and deadlines simultaneously.Strong organizational, communication, and time-management skills.Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).Prior experience working with an AI-powered contract compliance solution preferred.Prior Operations experience preferred.Must be able to work 24 hours per week on-site, including every Tuesday.Must be willing to travel nationally to all Company officesCOMPETENCIES YOU SHOULD HAVE
