Role Overview

We are seeking a highly organized and detail-oriented Office Admin to be responsible for the registration and reception of visitors, the receipt and delivery and management of the company's administrative materials, the daily communication and business docking of the lessor, the management of meeting rooms and pantry, the sending and receiving of letters and parcels and other administrative affairs support.

Responsibilities

  • Overseeandprocessonboardingrequests,ensuringallstepsarecompletedaccuratelyandontime.
  • Managelaptopprocurementandlogisticsfornewhires,includingGonbeiapprovals,coordinatingpickups,andcommunicationwithotherwarehouseassetkeepers.
  • ServeastheassetkeeperforBrea,remoteemployees,andpotentiallyLAX.
  • DistributeNewHireWeeklymeetinglinks,send2-weekonboardingsurveys,andissueStarbucksgiftcardstoparticipants.
  • HandleU.S.purchasessuchasgiftcards,bonuses,andofficesuppliesandequipmentviaAmazon,Giftbit,BestBuy,etc.
  • Manageemployeeoffboarding,includingsendingreturninstructionsandensuringcompliance.
  • Coordinateteam-buildingeventsandanniversarygifts.
  • MaintainBreaofficeoperations : stocksnacks,beverages,andsupplies;waterplants;organizeincomingmail;andkeepthespacetidyandfunctional.
  • ActastheprimarypointofcontactfortheBreaoffice(U.S.HQ),ensuringsmoothdailyoperations.
  • DistributemonthlybirthdaygiftcardsandsupportadministrativeshippingneedsviaUSPSorUPS.
  • AssistCEOandmanagementduringinvestorvisitsormeetingsbyensuringtheofficeispresentableandprovidingnecessarylogisticalsupport.
  • Fosterapositiveandwell-equippedworkenvironmentforallBreaemployees.

Qualifications

  • Bachelor's degree or equivalent
  • Experience in receptionist and administrative assistant works.
  • Experience in customer service where provide support to others.
  • Experience in workplace that requires high level of collaboration with team member
  • Fluent written and oral communication skills in English and Mandarin.
  • Great team player and interpersonal skills.
  • Good time management and the ability to prioritize work.
  • Knowledge of office management systems and procedures.
  • Strong organizational skills with the ability to multi-task.
  • Ability to meet deadlines and efficiently accomplish delegated tasks.
  • Problem solving.
