Primary Objectives :
The Production Associate is responsible for executing the daily operational needs of the Office and Production Department, including fulfillment of inventory orders of our strategic design partner, loading and unloading of trucks, maintaining accuracy of web-based inventory system to work in tandem with our strategic design partner, as well as acting as onsite production staff as needed.
Major Areas of Accountability :
Design Partner Lead
Update online system with inventory of our strategic design partner with accurate and up-to-date quantities, photos, and descriptions, etc.Implement real-time inventory check-in / out system; load and unload all outgoing and returning inventory from truck and update software system to assure real time accuracy in order to best strategize with DCi’s design partner.Assist in all aspects of inventory process with our design partner including :
Proactively requesting inventory orders from Account ManagersFulfilling orders and notifying requester and offering possible solutions if there is a problemStaging inventory with completed requested inventory listManaging process of transferring inventory ownership from design partner to Production StaffReceiving and checking in returning inventory and updating web-based systemCleaning and restocking of inventory before returning to DCi’s design partnerMust possess knowledge and understanding of all of DCi’s strategic design partner’s inventory items and how they work. Responsible for ensuring Production Staff know how inventory works before inventory goes out on site. Production staff must be able to show AM or contact on site how items work.Ensure continuous care and maintenance of all DCi’s strategic design partner’s inventory; chair repair, touch up painting, repairing broken items, etc. If needed, request labor assistance to ensure no loss of service.Continuously track design partner’s inventory usage with a focus on future needs; trending décor, relevancy in the design world and freshness, etc. Make recommendations on usage of space for housing inventory based on most profitable storage and usage.In conjunction with Design Department and under the direction of Production Manager and DCi’s strategic design partner, oversee the sale or donation of surplus inventory. Manage postings on Craigslist or other, oversee donations to charitable organizations and tracking for PR and tax deduction purposes, etc.Work with Account Managers to set-up Studio space for virtual programsOn-Site Event Production
On-site production manager as needed; may include driving DCi truck, set up and break down of events as well as actual day-of event management to relieve Account Manager.Facilities & Office Maintenance
All Fed Ex needs such as scheduling pick-ups, shipping, labels, and overnight requests, as well as monthly FedEx billing reconciliationManagement of incoming and outgoing deliveries including mail routing and tracking of shipments with proper program allocationResponsible for appropriately distributing daily office mail and receiving all office / warehouse deliveriesResponsible for inventory of office and warehouse supplies to include general office supplies, copy, kitchen, shipping labels and materials (boxes), and postage needs; determining stock level, anticipating needed supplies, placing / expediting orders, verifying receipt, and negotiation for best pricePrimary phone coverage during business hoursDaily opening and closing of office buildingManage pick up of recycling and secure document destructionManagement of all office equipment including preventative maintenance as needed, service contracts, pricing negotiations and vendor relationshipsCoordinate office maintenance needs such as HVAC, Plumbers, Electricians, Handyman, etc. alongside the Senior Director of Business Operations & Finance as neededKnowledge and Skill Required
2+ years equivalent experience in related fieldClean driving recordMust be able to lift 50lbs.Highly Organized & self-motivatorCreativity, strong communication, and customer service skillsAbility to prioritize and handle multiple tasks & projects simultaneouslyCapability to work with little supervision, while making sound decisionsAbility to cultivate relationships with various levels of employees and vendor partnersBenefits :
