Document Processing Specialist
Join Cooley's Document Processing team as a Document Processing Specialist! This role is key in delivering top-notch document production and processing support.
Position Summary : As a Document Processing Specialist, you will collaborate with a team of specialists and proofreaders across various time zones to ensure we provide exceptional customer service and quality work.
Schedule for Work Week :
Sunday-Thursday : 10 : 00 PM-6 : 30 AM (Pacific Time)
Friday : OFF
Key Responsibilities :
Create and revise documents using Microsoft Word, Excel, PowerPoint, and Visio. This includes converting electronic files, typing new content, and reformatting documents from sources like EDGAR databases.
Reformat documents into Cooley templates in standard or custom formats.
Convert documents from various applications and formats, including PDFs, to Word, Excel, PowerPoint, and Visio.
Transcribe dictation files accurately.
Proofread all documents to ensure accuracy of edits and new inputs.
Troubleshoot software issues, particularly in Word, Excel, and PowerPoint.
Manage hotline calls, assist users directly, and resolve document-related software issues.
Create fill-in forms using Acrobat.
Generate charts, graphs, tables, and spreadsheets as needed.
Handle email communications, including those with multiple attachments.
Transfer documents using secure file transfer platforms.
Conduct searches on the Internet and within corporate archives.
Download, save, and print documents from various data sites to PDF format.
Prepare and mark Table of Contents and Table of Authorities.
Perform redlines using Litera Compare and native Word functionalities.
Log work and cost recovery details accurately.
Other duties as assigned.
Requirements :
Proficient in Microsoft Office Suite, iManage, and other related applications post-orientation at Cooley LLP.
Availability for overtime and a flexible schedule as needed.
Strong knowledge of Microsoft Office Suite, iManage, Visio, Acrobat, and relevant software.
Fast and accurate typing skills.
General computer proficiency.
Experience supporting multi-location teams and working across time zones.
Prior experience in legal document processing is preferred.
Document Specialist I : Minimum of 1+ years of document processing experience.
Document Specialist II : Minimum of 5+ years of document processing experience with proven expertise in software and documents.

The expected hourly pay range for this position is $32.00 - $56.50 ($66,560.00 - $117,520.00 annually), based on experience and qualifications.
