Position Overview
The practice is seeking a bilingual Front Desk Associate who thrives in a fast-paced, patient-first environment. The ideal candidate is experienced, highly organized, personable, and able to confidently manage front office operations. This is more than a traditional front desk role — the team is looking for someone who can contribute across multiple areas of the business, including billing, marketing, and administrative functions.
Schedule & Location
Primary Location : Lehigh Acres, FL
Schedule :
- Monday, Wednesday, Friday : 8 : 00 AM – 6 : 00 PM (with a 1.5-hour lunch break)
- Saturday : 9 : 00 AM – 1 : 00 PM (as needed)
- Optional additional hours available on Tuesdays and Thursdays at a secondary office location or for administrative support

Bilingual – Fluent in English and Spanish (required)5+ years of customer service experience (medical front desk preferred)Familiarity with EHR systems and medical billing processes is a plusProficiency in Microsoft Office and Google WorkspaceStrong organizational skills with attention to detailAble to manage multiple responsibilities in a dynamic, patient-facing environmentKey Responsibilities Patient-Facing Duties
Greet and check in / out patients with professionalism and careSchedule and confirm appointments, answer calls and messagesCollect payments, process transactions, and prepare daily financial summariesAssist new patients with onboarding and intake formsEnsure efficient patient flow by coordinating with clinical staffAdministrative Duties
Maintain accurate patient records and profiles in the EHR systemCoordinate with attorneys and imaging centers (for PIP and MRI referrals)Prepare internal reports, track schedules, and update supply inventoriesPrint and organize necessary office paperwork and formsCommunicate with staff to ensure continuity of patient care and internal coordinationBilling Support
Enter and reconcile daily patient charges in the EHR systemMonitor and update patient package balances and notify patients of upcoming chargesPrepare end-of-day financial summaries and reconcile receiptsAssist with billing cover sheets and faxing billing-related documentationFollow up with attorneys and other parties on PIP case details and insurance mattersMarketing Support
Assist with printing and organizing marketing materials for events or in-office promotionsSupport the execution of seasonal campaigns (e.g., specials, flyers, referral initiatives)Provide admin support for email lists, appointment reminders, or patient engagement tasksContribute to social media content creation or scheduling if applicable (based on skills)Success Metrics
