Job Overview
Receptionist serves as the first point of contact for clientele entering our office. Clientele may have a range of backgrounds, ages, ethnicities, and cultures. Receptionist will work closely with legal team to ensure the seamless operation of the firm. Receptionist is mindful that they are the first impression of the firm, as they are the first face to be seen upon entering.
Responsibilities and Duties
General Office Management
- Accept invoices, documentation, or deliveries and place in appropriate bin or area
- Check trash cans at reception area and kitchen before end of shift
- Greet, welcome, and assist all walk-in traffic
- Monitor and maintain a list of office supplies needed for the next purchasing day
- Office upkeep duties (Will discuss further at interview.)
- Displays professionalism, a positive attitude, and a strong work ethic. Helps to maintain and enhance a positive image and high business ethics when interfacing with Associates and clients
Law
Answer phone calls from clients, answer questions and / or pass to appropriate personCreate contracts for new clientsCreate, maintain, and close filesManage filing systems with established spreadsheetsRespond to inquiries via phoneTake payments in person and over the phoneUpdate and maintain lawyer’s schedule – consultations and court calendarProcess clients coming into the firm for court internet-based hearingCommunicate with clients prior to court appearancesConfirm all appointmentsVarious errands to include going to bank, sending mail, filing at the court, etc.Assist lawyer and legal assistant with other tasksJob Skills and Qualifications
Required
High School diploma or GEDMinimum of 1 year experience in administrative / reception roleProficient in English and Spanish (reading, writing, speaking, translating)Ability to pass background checksAbility to work in a fast-paced environment at timesCan work with minimal guidance, self-starterCheery demeanorExcellent written and verbal communication skillsKnowledge of San Antonio and reliable transportationStrong knowledge of G Suite (Gmail, Calendar, Drive)Strong knowledge of Microsoft OfficeOrganizedPreferred
