Tuesday, 9 : 50am 6 : 00pm
Wednesday, 6 : 50am 1 : 30pm
Thursday, 6 : 50am 1 : 30pm
Friday, 6 : 50am 1 : 30pm
JOB SUMMARY
The Customer Support / Office Manager, also known as our Member Care Coordinator (MCC) will serve as the host and first point of contact, ensuring an exemplary experience for patients and visitors entering the clinical office.
You will be responsible for managing front desk duties, including answering high-volume calls, patient engagement, scheduling appointments, processing payments, resolving billing issues and managing office inventory.
Youre our ideal candidate if you have experience in customer service, reception, and / or administration. Extra bonus if you have experience in health and wellness and / or nutrition, have worked in a medical office or clinical setting, and are familiar with EMR / EHR and scheduling systems.

DUTIES & RESPONSIBILITIES
- Serve as the host and first point of contact, welcoming and checking patients and visitors in and ensuring a positive experience.
- Handle high-volume calls and patient engagements, scheduling and following up with appointments, billings and various inquiries.
- Walk through agreement forms with new patients and obtain appropriate signatures, review program outline and details, and discuss insurance and HSA / FSA coverage.
- Process orders, collect payments and manage office inventory.
- Receive mail and packages and notify appropriate recipients of deliveries. Manage outgoing mail and packages (creating labels, schedule pickups, etc.)
- Maintain a warm and tidy clinic, ensuring supplies and products are stocked and available.
- Build and maintain excellent rapport with patients to promote long-term member success.
- Assist with new hire arrival. Introduce team member to office staff, present welcome swag, and assist with time clock registration and system logins.
- Assist with training new team members, reviewing curriculum and shadowing tasks as needed
- Coordinate with the recruitment team to ensure an exceptional experience for candidates arriving for interviews.
- Manage opening and closing of the clinic on daily basis
- Other duties as needed.
EXPERIENCE, SKILLS & QUALIFICATIONS
- 1-2 years of experience in a customer-facing role, preferably in a medical / clinical office setting.
- High School diploma required. AA, BS, or BA in related field preferred.
- Excellent verbal and written communication skills. Ability to multi-task, efficiently managing incoming calls and visitors.
- Proficient in MS Office 365, EHR / EMR systems and patient scheduling & billing systems.
- Professional, empathetic, positive, articulate, and proactive.
- Flexible, team-player mentality willing to assist where and as needed.
- Reliable means of personal transportation.
