Business Context : The IC Coordinator manages inventories, conducts counts, requisitions replenishments, and ensures proper inventory control across clinical and non-clinical areas, aiming to support patient care and operational efficiency.
Job Description
Distribution – This position oversees perpetual and par inventory locations, supplies received, stored and issued at VMC, and may serve in clinical areas (OR, Cath Lab) to implement inventory control policies and procedures. The IC Coordinator works under the Inventory Manager and serves as a role model for the Service Culture Guidelines and mission of the organization.
Hours of Work : Typically Days with some variable shifts. Responsible to : Manager, OR & General Stores Inventory.
Responsibilities
- Provide day-to-day accountability for supply inventories, monitor volumes, flow, and sourcing; oversee inventory-related projects and assignments; lead work as directed by management.
- Apply cycle counting and standard operating procedures; analyze product usage and adjust inventory levels to optimize stock levels.
- Avoid stockouts by anticipating supply needs and communicating potential interruptions to managers, supervisors, and customers.
- Monitor additions, deletions, and changes to main stores and unit PAR locations; coordinate product conversions with departments.
- Maintain current Materials Management Information System (MMIS) database; act as liaison for training users in the electronic requisition system.
- Generate and submit distribution statistics and monthly reports as requested.
- Make independent decisions regarding supply shortages and communicate with management; perform causative research and reconciliation for reports.
- Support patient supply product evaluations and development of departmental policies in coordination with Supervisors / Managers.
- Lead product recalls and returns; represent Distribution on committees as directed.
- Maintain and operate automated point-of-use (POU) systems (e.g., ParX); manage inventory control projects with leadership.
Qualifications
Bachelor's degree in Healthcare, Business, Finance or Logistics / Supply Chain Management or equivalent experience.Minimum 2 years of Supply Chain Management or Finance experience; 1 year in healthcare preferred.Lean / Six Sigma training or similar process improvement programs preferred; CMRP preferred.Excellent verbal and written communication skills; strong analytical and problem-solving abilities.Strong organizational and administrative skills; ability to work under tight deadlines with attention to detail.Willingness to learn, improve, and adapt; IT / computer skills in relevant business applications; knowledge of medical supplies and supply chain operations.Knowledge of MMIS; proficiency with MS-Office; ability to summarize information and present to others.Physical / Mental Demands & Environment
Requires repetitive lifting, pushing, carrying (up to 40 lbs), bending, twisting, standing / walking up to 50% of shift, and working in varied temperatures and noise levels. May require pickups / deliveries outside the Medical Center.
