We are looking for a highly engaging, customer focused individual to join our team as Administrative Assistant. The successful candidate for this role is engaging, full of energy, and is open to learning and leading by example, responds in a professional and courteous manner to guests and team, as well as being there to support the team both personally and professionally.
We are seeking a highly organized and proactive Administrative Assistant to provide cross-functional support to our Accounting, Human Resources, and Sales departments. This role is ideal for a detail-oriented multitasker who thrives in a dynamic hospitality environment and enjoys working collaboratively across teams.
Key Responsibilities
Accounting Support
- Assist with data entry and assignments from accounting manager
- Assist with the weekly AR reporting, statements, and invoices
- Post office/bank runs
- Managing Lost and Found returns
- Manage Deposit Ledger
Human Resources Support
- Coordinate interview scheduling, onboarding documentation, and employee file management
- Assist with timekeeping, payroll data entry, and benefits administration
- Help organize employee engagement activities and training sessions
Sales Support
- Answer incoming sales department calls
- Manage business travel account reservations, billing and special requests
- Delphi data entry of new leads and existing account updates
- Manage VIP arrival experience
- Other administrative duties as assigned by the Director of Sales
General Administrative Duties
- Manage shared calendars, meeting coordination, and departmental communications
- Maintain filing systems (digital and physical) and ensure confidentiality
- Order office supplies and support general operational needs
Qualifications- Previous administrative experience, preferably in hospitality or a multi-departmental role
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent communication and interpersonal skills
- Ability to prioritize tasks and manage time effectively
- High level of discretion and professionalism
- Valid drivers license in good standing required
- Ability to communicate in the English language required
- Bilingual Spanish language skills strongly preferred
Compensation RangeThe compensation for this position is $29.00/Hr. - $29.00/Hr. based on qualifications and experience.
