Front Desk & Office Services Coordinator
Open Access Technology International, Inc. (OATI) is seeking a professional, customer-service-oriented Front Desk & Office Services Coordinator to support our Bloomington location. This role reports 100% on site and is essential in creating a welcoming environment for guests, including employees, vendors, and VIPs, while ensuring smooth office operations. The starting salary range for the role ranges from $42,000.00 $52,000. Key responsibilities include managing meeting room reservations and ensuring seamless event logistics, answering and directing calls professionally, assigning badges to guests and new employees, stocking and managing office supplies, assisting the Talent Team, coordinating shipments, deliveries, and vendor escorts, supporting building security, monitoring gate access, and reporting turnstile issues, responding to alarms and documenting security concerns, assisting the Training Department with tracking registrations and participant lists, sending customer notifications via Outlook (reminders, confirmations, follow-ups), ensuring meeting areas remain clean, organized, and event-ready, overseeing event setup, ensuring a seamless experience for VIP guests, and coordinating food orders for internal and external events, managing vendor and catering logistics, preparing requisition form. Maintaining detailed documentation of training attendance and scheduling is also required.
Qualifications include an associate's degree (preferred) or equivalent experience, strong attention to detail, organization, and multitasking skills, proficiency in MS Office and professional phone etiquette, ability to work independently and manage time effectively, legally authorized to work in the U.S. without requiring sponsorship now or in the future, ability to lift office supplies as needed, and work on site.
