Location : Atlanta, GA (On-site, with occasional events at our headquarters in Alpharetta, GA, and occasional travel to Phoenix, AZ)

Position Overview
The Event Coordinator will primarily be the facilitator of events, managing the BEO, scheduling vendors and rentals, doing event site visits, executing the vision of the Director of Events, and being the on-site point of contact. This is a full time role, the expectation is 40 hours a week, typically 9am to 5pm with the exception of event days. The Event Coordinator manages the behind-the-scenes logistics that ensure events run smoothly from start to finish. This role supports in-person workshops, internal programs, external rental events, and backstage management, serving as the operational backbone that brings the Event Team's strategies and creative vision to life.
The ideal candidate is detail-oriented, proactive, organized, and confident in managing multiple priorities. They excel at communication, problem-solving, team management, and hands-on execution, ensuring every event delivers an outstanding experience for attendees. This role offers opportunities to expand into higher-level event planning and leadership responsibilities as experience and performance grow
Responsibilities
- Event Planning & Logistics
- The on-site contact for events and the events team.
- Coordinate pre-, day-of, and post-event logistics.
- Lead event set-up, flow, and strike; ensure rooms are staged according to floorplans.
- Act as the on-site contact for attendees, vendors, and staff.
- Monitor event schedules and address timing issues promptly.
- Provide light AV support when needed (timers, microphones, Zoom, slides).
- Maintain detailed checklists, timelines, and production schedules.
- Manage shipping, receiving, placement, and inventory of event materials.
- Vendor coordination, sourcing, communications, scheduling, and management.
- Review contracts and pricing; provide input for budget tracking.
- Analyze outcomes and recommend improvements for future events.
- Maintain venue organization and inventory systems.
- Collaborate with internal departments on employee engagement and internal events.
- Support the Director of Events with administrative tasks as assigned.
Qualifications
Bachelor's degree in Event Management, Hospitality, or related field (or equivalent experience).1+ years of event coordination or related experience.Strong organizational, planning, and multitasking skills.Excellent communication skills with the ability to interact professionally with clients, vendors, and executives.Proactive self-starter with a desire to learn and grow.Ability to stay calm and solution-focused under pressure.Strong team player with a collaborative mindset.Customer-first attitude with a passion for creating memorable experiences.Proficiency in Microsoft Office; familiarity with event software (Cvent, AllSeated, Prismm) a plus.General knowledge of AV equipment preferred.Ability to lift up to 30 lbs and stand / walk for 8-12 hours during events.Flexibility to work evenings, weekends, and varying schedules based on event needs.What We Offer
