Assistant Health Center Manager
The Assistant Health Center Manager supports the Health Center Manager in overseeing daily clinic operations to ensure efficient, patient-centered care in alignment with FQHC standards. This role plays a key part in maintaining smooth clinic workflows, supporting administrative functions, and fostering clear communication among team members. The Assistant Health Center Manager collaborates closely with support staff to ensure alignment and optimal performance.
Location : This role is located in Arden - Sacramento, CA (95825).
Essential Functions
- Support the Health Center Manager in daily operations to ensure seamless clinic flow and effective team coordination.
- Monitor appointment schedules, cancellations, no-shows, and rebookings to ensure full utilization and minimize patient wait times.
- Oversee clinic opening and closing procedures, including building security and alarm systems.
- Ensure all shifts are appropriately staffed and coordinate lunch and work schedules for front and back desk staff; recommend adjustments as needed.
- Assist in reviewing and managing PSR schedules for accuracy, completeness, and coverage.
- Provide on-the-ground support and guidance to PSRs, ensuring adherence to workflows and coverage needs.
- Ensure PSRs are accurately running eligibility checks, referring SFS patients as needed, completing chart prep, and collecting correct demographic information.
- Monitor patient schedules to ensure all appointment slots are booked; ensure timely follow-up and rescheduling of no-shows and cancellations.
- Improve primary care provider (PCP) continuity by supporting panel management and follow-up processes.
- Assist in hiring, interviewing, onboarding, and training new staff.
- Provide orientation for new hires, including site tours, introductions, and familiarization with equipment and staff roles.
- Track employee attendance and timekeeping for payroll; ensure timely and accurate submission.
- Manage provider productivity and find coverage for uncovered clinic hours.
- Facilitate communication between shifts and departments to maintain consistent workflows and updated procedures.
- Assist with annual evaluations, staff performance reviews, and implementation of new workflows or operational changes.
- Escalate performance issues, staffing concerns, or grievances to the Health Center Manager or HR when appropriate.
- Advise on and execute disciplinary actions as necessary.
- Participate in audits, HIPAA and safety walkthroughs, annual assessments, and quality assurance reviews.
- Assist in compiling and submitting weekly Operations Reports and other required documentation.
- Monitor check-in processes and patient flow; implement systems to reduce wait times from front desk to Clinician.
- Support resolution of patient and staff complaints and serve as a patient advocate when needed.
- Review patient records to ensure documentation is complete; verify labs are entered into EPIC and followed up on promptly.
- Ensure patient encounters are properly coded and completed in a timely manner.
- Cover front or back office positions as needed.
- Maintain stock of clinic and managed care program literature; may also order and manage office supplies.
- Ensure overall cleanliness of the facility and report unusual occurrences to the Health Center Manager.
- Support front and back office staff with skill maintenance and training updates; participate in in-service meetings and workshops.
- Enhance personal and team professional development through educational programs and review of current literature.
Minimum Requirements
Minimum of 3 years of experience in a healthcare administrative role, with proven capabilities in :Understanding clinic operationsManaging scheduling systemsAddressing team communication needsExcellent interpersonal, organizational, and problem-solving skillsAbility to multitask effectively in a fast-paced environment and adapt to changing prioritiesFamiliarity with electronic health records (EHRs), preferably EPICStrong commitment to equitable, patient-centered careValid CPR or BLS CertificationPreferred Background
