Customer Support Associate

Location : Pipersville, PA

Schedule : Monday-Friday, 8 : 00 AM 5 : 00 PM

Type : Full-Time, Temporary-to-Hire (Initial Onsite Requirement; Hybrid Potential Later)

Overview : A medical equipment distributor based in Pipersville is seeking a proactive and detail-oriented Customer Support Associate to join their team. This role will begin fully onsite, with the potential to transition into a hybrid schedule once training and performance milestones are met. The ideal candidate will have strong communication skills, experience working in a fast-paced environment, and familiarity with order processing, customer service support, and accounting-related tasks.

Key Responsibilities

Customer Support

  • Serve as the first point of contact for incoming phone calls and customer inquiries.
  • Enter and process sales orders, verify pricing, and send confirmations to customers.
  • Generate purchase orders to vendors and track shipments to ensure timely delivery.
  • Keep customers and sales representatives informed of order status and delivery timelines, including updating internal CRM systems.
  • Assist with inventory control, including preparing shipments, receiving product, and ordering replacement stock as needed.
  • Maintain and update records for equipment sales, warranties, and related documentation.
  • Prepare and distribute weekly sales order status reports.
  • Organize and maintain sales literature and marketing materials.

Accounts Receivable

  • Create and send invoices for parts and accessory sales.
  • Monitor and follow up on past due payments.
  • Process deposits and record customer payments.
  • Maintain organized filing of closed receivables.
  • Accounts Payable

  • Receive and distribute vendor invoices.
  • Enter bills into QuickBooks and process expense submissions.
  • Send ACH notifications and update related payables records.
  • Record commissions for service-related sales.
  • Maintain organized filing of closed payables.
  • Administrative Support

  • Provide backup support to customer service and internal sales staff during peak periods or absences.
  • Assist with general office support, supply ordering, and special projects as assigned.
  • Requirements

    Qualifications

  • Minimum of 5 years of administrative or customer service experience in a busy office environment.
  • College degree preferred but not required based on experience.
  • Preferred Skills

  • Strong verbal and written communication abilities.
  • Highly organized with excellent attention to detail.
  • Proficient in Microsoft Office (Outlook, Word, Excel) and general Windows-based software.
  • Experience with QuickBooks or similar accounting software strongly preferred.
  • Familiarity with CRM systems (Method : CRM experience is a plus).
  • Able to manage multiple tasks and work independently with minimal supervision.
