We are seeking a highly organized and enthusiastic Executive Support Specialist to provide crucial assistance to up to 3 Partners. This is a hybrid role that requires in-office presence 3 days per week, with no option for full remote work.
Key Responsibilities
Business Development
- Establish and foster relationships with clients and their executive assistants.
- Understand the objectives of each Partner and proactively support their business goals.
- Maintain an accurate CRM database of contacts and business activities.
- Track sales activities and pipelines for each Partner.
- Identify clients needing follow-up or who haven't been engaged recently.
- Execute follow-up calls for client mailings as requested.
- Assist the Marketing Department with the coordination of targeted mailings.
- Prepare letters, proposals, and documents adhering to Oliver Wyman's formatting standards.
Calendaring
Manage the calendars for Partners, scheduling meetings and liaising with clients and staff as needed.Identify opportunities to add value through additional meetings, interviews, or follow-ups.Assist in scheduling for complex projects as required by Partners or project teams.Travel Arrangements
Coordinate travel logistics, including accommodation, transportation, and ticketing.Learn Partners' scheduling preferences and travel habits for efficient planning.Group travel plans around client meetings where appropriate.Daily Administration
Collaborate with Human Capital to manage work permits and visas.Handle documents and project deliverables upon request.Update staffing and Practice EAs about extensions or re-negotiations.Manage confidential client information responsibly.Serve as the main contact for Partner administrative needs, coordinating with support teams.Timesheet and Expense Reporting
Create weekly timesheets for assigned Partners.Prepare expense reports and delegate tasks to a team assistant when necessary.Team Support
Provide backup support for EAs on leave to ensure continuous Partner support.Offer short-term assistance during transitions for new Partners or EAs.Train and mentor new EAs.Engage in team projects aimed at process improvements and enhancing overall EA performance.Experience Required
Bachelor's degree preferred.Minimum 3 years of experience in an administrative or customer service role.Experience in financial services, management consulting, or professional services is a plus.Technical Skills
Proficient in Word, PowerPoint, and Excel.Expertise in Outlook.Familiarity with Salesforce is a plus but not required.Skills and Attributes

In addition to base pay, performance-based incentives may apply.
