General Description Reporting directly to the Director of Operations for Academic Affairs, the PODS Project Coordinator will provide the Project Director (PD) with administrative and logistical support. The Project Coordinator will assist with all aspects of the grant execution, including but not limited to, monitoring all budget expenses, collaborating with IT on technology and equipment purchases, maintaining records of grant activities, and assisting in collection of evaluation data. The expected start date for this role is 04/01/2024.
Salary: $50,000; non-negotiable Duties & Responsibilities
- Provide administrative support to the Project Director, including scheduling meetings, managing calendars, and handling correspondence.
- Assist in preparing and organizing project-related documents, reports, and presentations.
- Maintain an organized filing system for project documents and records.
- Work closely with the Project Director to monitor all budget expenses related to the grant.
- Track expenditures, prepare financial reports, and ensure that spending aligns with grant guidelines and budgetary constraints.
- Collaborate with the finance department to process invoices, reimbursements, and purchase orders.
- Maintain accurate and up-to-date records of all grant activities, including project timelines, milestones, and progress reports.
- Create and maintain a comprehensive project documentation system to track project developments.
- Assist in the collection of evaluation data as required by the grant.
- Collaborate with the evaluation team to gather, compile, and organize data related to project outcomes and impacts.
- Ensure that data collection methods are consistent with project objectives and evaluation plans.
- Ensure that all project activities adhere to grant guidelines, regulations, and reporting requirements.
- Assist in the preparation and submission of grant-related reports and documentation.
- Serve on University committees as appointed and work on related, special projects and initiatives as assigned.
Qualification Standards
- Bachelor’s degree in a relevant field required
- Previous experience in project coordination, administrative support, or grant management is strongly preferred
- Strong organizational skills with the ability to manage multiple tasks, projects, and deadlines simultaneously.
- Attention to detail and a commitment to maintaining accurate records.
- Excellent written and verbal communication skills.
- Ability to effectively communicate with project team members, stakeholders, and partners.
- Knowledge of budgeting and financial management principles.
- Experience in monitoring expenses and ensuring adherence to budget constraints.
- Proficiency in using office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
