Atlantic Group is hiring a Project Administrative Assistant (Construction) in Nassau County, NY with our client, supporting large-scale infrastructure and building projects. You will manage submittals, RFIs, change orders, and DPW compliance while collaborating with project managers, subcontractors, and vendors to streamline approvals and reporting. This role is ideal for construction-focused administrative professionals looking to contribute to high-profile projects.
Responsibilities as the Project Administrative
- Document
- Manage Submittal Exchange and SharePoint to track and organize submittals, RFIs, COs, logs, and drawings.
- Vendor & Subcontractor
- Process approvals by checking references, verifying paperwork, drafting DPW letters, and submitting documentation.
- Meeting & Reporting
- Prepare agendas, logs, minutes, and monthly executive reports, distributing materials to all stakeholders.
- Payment & Change
- Assist with monthly payment applications and assemble change orders for review and approval.
- Project
- Provide administrative support to project managers and engineers to keep workflows efficient and on schedule.
Qualifications for the Project Administrative
Bachelor’s degree in Business Administration, Construction Management, or a related field preferred.4+ years in construction administration or project coordination, with DPW or large public works experience preferred.TechnicalProficient in Submittal Exchange, SharePoint, and Microsoft Office Suite, with experience in Procore, CMiC, or similar construction management software preferred.IndustryStrong understanding of construction documentation, approval workflows, and compliance requirements for public and private projects.Skills &Organized, detail-oriented, and communicative, skilled at managing deadlines, collaborating across teams, and handling sensitive information.Application
