Executive Assistant, Senior

The City of Richmond, Department of Economic Development is seeking an experienced Executive Assistant, Senior to provide administrative, technical, and programmatic support to the Director. The successful candidate will have significant experience working in a collaborative, fast-paced environment that requires strong attention to detail. This person must be able to prioritize and effectively manage multiple projects, work well under pressure to meet deadlines, exhibit sound judgment in making decisions, and maintain confidentiality on sensitive matters.

This recruitment is for a position which is unclassified. Therefore, the successful candidate will serve at the will of the Appointing Authority.

Preference will be given to internal employees or contractors, currently working with the city.

Duties include but are not limited to :

  • Provides administrative support for the Department of Economic Development and the Economic Development Authority;
  • Manages a dynamic executive calendar, including scheduling internal and external meetings, events, and travel arrangements;
  • Maintains digital and hardcopy records for the Department of Economic Development and Economic Development Authority
  • Serves as the Freedom of Information Act (FOIA) Coordinator for the Department of Economic Development and Economic Development Authority;
  • Manages all front desk activities for the Department of Economic Development and Economic Development Authority;
  • Serves as the Automation Coordinator for the Department of Economic Development;
  • Serves as the Office Coordinator for the Department of Economic Development and Economic Development Authority;
  • Provides technical / clerical support at Economic Development Authority Board and Committee meetings, posts meeting notices and agenda packages;
  • Provides support for onsite and offsite economic development meetings and events;
  • Other duties as assigned

Qualifications, Special Certifications and Licenses :

Minimum Training and Experience :

  • Associate's degree in a related field such as business administration.
  • A Bachelor's degree is preferred.
  • Two years of advanced administrative support, customer service, and paraprofessional analytical work, preferably with experience supporting top executives.
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification.

    Physical Requirements and Working Environment : Due to the nature of work assignments, incumbents must be able to perform detailed work on multiple, concurrent tasks, with frequent interruptions and under time constraint. The essential duties of this classification may require the ability to regularly work with hands and fingers, talk, hear, see, and use repetitive motions; frequently reach, balance, and stand; and occasionally stoop, crouch, walk, lift, feel, pull, grasp, and climb. In terms of the physical strength to perform the essential duties, this classification is considered to be sedentary (exerting up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects), but may differ based on area of focus. The working conditions may contain environmental hazards, depending on area of focus.
