We are seeking a highly organized and proactive Executive Assistant to provide top-level administrative support to our senior leadership team in Richmond, VA. This role is critical in ensuring our executives are able to focus on strategic priorities by managing their day-to-day operations and acting as a key liaison with both internal and external stakeholders.
Position Overview :
As an Executive Assistant, you will play a vital role in maintaining efficiency across the organization. This position requires discretion, excellent time management, and strong communication skills. You’ll be responsible for managing executive calendars, coordinating meetings and travel, preparing reports, handling sensitive communications, and organizing critical information to assist in decision-making.
Key Responsibilities :
Manage calendars, schedule and confirm appointments, and coordinate meetings and events
Handle confidential communications with discretion and professionalism
Arrange domestic and international travel, including flights, accommodations, and itineraries
Prepare reports, presentations, and correspondence for internal and external use
Serve as a liaison between executives and internal teams, clients, or vendors
Answer and route phone calls; take messages or provide information as needed
Maintain organized electronic and paper filing systems
Enter and manage data in databases with accuracy and attention to detail
Operate and coordinate the maintenance of office equipment (copiers, fax machines, etc.)
Greet visitors, manage inquiries, and direct individuals to the appropriate departments
Skills and Qualifications :
Exceptional communication skills – verbal and written
Strong organizational skills with the ability to multi task and prioritize effectively
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Demonstrated time management and problem-solving abilities
High level of discretion and confidentiality
Comfortable interacting with senior executives and external stakeholders
Ability to take initiative, anticipate needs, and work independently
Familiarity with office technology and systems
Preferred Experience :
3+ years of experience supporting senior-level executives
Experience in a fast-paced professional environment
Associate or Bachelor’s degree preferred
