Position Overview
We are seeking a detail-oriented and proactive Lateral Attorney Onboarding / Offboarding Coordinator to join our team. This critical role ensures seamless transitions for attorneys joining or departing the firm, coordinating with multiple departments and managing complex technology systems to provide an exceptional experience during these key transitions.
Key Responsibilities
Onboarding
- Coordinate and execute comprehensive onboarding processes for lateral attorney hires across all five office locations
- Serve as primary point of contact for new attorneys throughout their onboarding journey
- Configure and provision access to firm technology systems including CARET Legal, InTapp, NetDocuments, Microsoft 365 suite, Adobe, Zoom phone, and other firm applications
- Coordinate with IT, HR, Recruiting, Accounting, and Office Services to ensure all systems, equipment, and workspace requirements are met prior to start date
- Create and maintain attorney profiles in firm management systems
- Arrange hardware setup including computers, monitors, phones, and mobile devices
- Facilitate security badge creation and building access provisioning
- Schedule and coordinate orientation sessions and firm introductions
- Prepare welcome materials and new hire documentation
- Ensure compliance with bar requirements and maintain attorney credentials database
- Track onboarding progress and provide regular status updates to stakeholders
Offboarding
Manage comprehensive offboarding process for departing attorneysCoordinate retrieval of firm property including laptops, phones, security badges, and other equipmentDisable system access across all platforms in accordance with firm security protocolsWork with IT to preserve and transfer attorney files and client data appropriatelyCoordinate with Records team regarding client transitions and file transfersFacilitate knowledge transfer and client transition processesEnsure proper documentation of departing attorney's matters and client relationshipsConduct exit interviews when appropriate and document feedbackManage final accounting reconciliations in coordination with Accounting departmentUpdate firm directories, websites, and marketing materialsProcess Improvement
Maintain and continuously improve onboarding / offboarding checklists and proceduresIdentify opportunities to streamline processes and enhance efficiencyDevelop, prepare, and maintain comprehensive training modules, documentation, and training materials for onboarding / offboarding processesTrack metrics and generate reports on onboarding / offboarding activitiesEnsure consistency and quality across all office locationsQualifications
Required
Bachelor's degree or equivalent work experience5+ years of experience in onboarding / offboarding, HR operations, or legal administrationDemonstrated ability to create, prepare, and deliver training modules and instructional materialsStrong technical aptitude with experience managing multiple software platformsExcellent organizational and project management skills with ability to manage multiple transitions simultaneouslySuperior attention to detail and commitment to accuracyStrong interpersonal and communication skillsAbility to maintain strict confidentiality and handle sensitive information with discretionProficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)Experience working in a professional services or law firm environment preferredPreferred
Experience with CARET Legal (formerly Zola Suite), InTapp, and / or NetDocumentsFamiliarity with California State Bar requirements and attorney licensingKnowledge of legal industry technology and practice management systemsExperience supporting multiple office locationsUnderstanding of law firm conflicts of interest processesProject management certification or trainingSkills and Competencies
