About the Position : The Academy of Criminal Justice Sciences (ACJS) seeks an Association Coordinator to serve as Meeting Planner for the ACJS Annual Meeting, virtual or in-person workshops, future webinars, and to provide project support for the association staff.
The Association Coordinator will report to and work closely with the Association Manager. The ideal candidate must be a resident in the Maryland, Washington , or Virigina area.
Remote work will be permitted, but the candidate will need to periodically come into the office, as needed, and be available to attend and work at the annual meeting (typically in March each year).
Duties and Responsibilities :
- Advise and assist conference Program Team.
- Manage the conference abstract submission system.
- Create text copy for and periodically update conference webpages.
- Respond to member telephone and email inquiries.
- Maintain database of meeting information and electronic files.
- Generate and reconcile event invoices, receipts, and outstanding balances.
- Coordinate logistics for the annual meeting, including but not limited to email event marketing, agenda scheduling, ordering of awards and conference supplies, creating sign orders, preparing hotel rooming lists, etc.
- Coordinate the development of the Annual Meeting mobile app with its third-party provider.
- Work with vendors, including tour companies, security providers, photographers, etc.
- Manage attendee registration for all events, including exhibitor and sponsors.
- Manage onsite logistics for the ACJS Annual Meeting.
- Provide Association Manager and various stakeholders with administrative support, as needed.
- Perform database searches, updates, edits, and generate closeout reports.
- Work on special projects and other duties as assigned.
Qualifications and Skills
- Must have at least 5 to 7 years of meeting planning experience.
- Exceptional organization and attention to detail with a focus on managing multiple deadlines in a fast-paced environment.
- Exceptional written and oral communication skills.
- Strong knowledge of computer software (MS Word, Excel, and Outlook); knowledge of membership database systems.
- Must be available to travel to meetings to manage on-site events, working extended hours, including standing and walking for long periods of time, and provide support during early morning and evening hours.
- Strong interpersonal skills and the ability to work with diverse groups.
- Customer-driven with the ability to make good decisions.
- Strong project management skills : task- and deadline-oriented.
- Sound professional judgment and discretion.
- Team orientation and a desire to work collaboratively to accomplish organizational goals.
