Job description

Cancer Registrar

Reports to the Manager, Cancer Registry. Assists with maintaining the efficient operation of the cancer registry by registering and following patients with a diagnosis of malignancy, retrieving and analyzing patient medical records to abstract relevant data into the computerized cancer registry data system, assisting as needed with incidence and quality studies and assisting with coordination of tumor board and cancer conferences.

Reviews the medical record thoroughly to insure applicable patient data is available for coding and abstracting by :

  • Checking the patient diagnosis for correct coding of primary cancer site which involves specific review of the face sheet, discharge summary, history and physical report, consultation reports, laboratory, radiology, operative and pathology reports; assigning the correct ICD-O diagnosis code.
  • Entering eligible patients into the cancer registry electronic data base.
  • Obtaining information regarding diagnostic and / or treatment procedures accomplished outside of Memorial Hospital; i.e., physicians' offices, clinics, or other hospitals.
  • Ensuring the confidentiality and security of patient data stored in the registry files.
  • Assists with maintaining the efficient operation of cancer registry by :
  • Locating eligible patients for entry into the cancer registry, using the written procedures detailed in the cancer registry procedures manual; reviewing electronic files of discharged patients with a diagnosis of malignancy, reviewing Radiation Oncology Department patient listings and reviewing pathology / cytology / autopsy reports.
  • Entering all collected patient data into the computerized cancer registry data system in a manner meeting the accuracy, completeness, and timeliness requirements of the Indiana State Department of Health Cancer Registry and the American College of Surgeons Commission on Cancer.
  • Contacting pathologists or other physicians, as needed, for clarification of diagnosis or treatment data.
  • Reviewing and documenting TNM stage of disease as assigned or co-signed by physician.
  • Assigning clinical TNM stage as required by the American College of Surgeons, Commission on Cancer in absence of physician staging.
  • Abstracting core information from patient medical records, including demographic characteristics, history of cancer, diagnostic procedures, diagnostic stage, and treatment; contacting referring physicians or hospital for information as needed.
  • Maintaining collaborative staging accuracy rate set by the Cancer Committee to comply with the American College of Surgeons, Commission on Cancer standard.
  • Assembling and disseminating data collected in the cancer registry, answering requests for data, and maintaining data request log.
  • Retrieving and displaying data collected for cancer related studies and research projects.
  • Following-up with patients who have a delinquent date-of-last-contact by initiating telephone contact with the patients, patients families, or other possible information sources, following the departmental written procedures.
  • Completing, as needed, computerized monthly patient follow-up.
  • Coordinating cancer conferences by preparing patient case histories for discussion by physicians, arranging for presentation of radiographic films and pathology slides, and documentation of attendance and minutes as needed.
  • Assisting with decisions requiring an in-depth knowledge of cancer registry accreditation requirements and cancer registry science.
  • Assisting with quality control of data base as detailed in the departmental procedure manual.
  • Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by :

  • Attending cancer conferences, cancer symposia, and / or appropriate educational meetings as directed to reinforce knowledge of cancer disease and treatment to promote accurate abstracting of patient data.
  • Completing other job-related duties and projects as assigned.

    Associate complies with the following organizational requirements :

  • Completes mandatory education, annual competencies and department specific education within established timeframes.
  • Completes annual employee health requirements within established timeframes.
  • Maintains license / certification, registration in good standing throughout fiscal year.
  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position / department.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Complies with established organization and department policies.
  • Available to work overtime in addition to working additional or other shifts and schedules when required.

  • Education and Experience

  • The knowledge, skills and abilities as indicated below are normally acquired through successful completion of a high school diploma or equivalent level of knowledge, with courses in anatomy and medical terminology. Certification as a cancer registrar through the National Cancer Registrar Association is required. One to two years experience in cancer registry preferred.
  • Knowledge & Skills

  • Requires a thorough knowledge of medical terminology and systems of the body, ICD-9-CM and ICD-O coding systems; knowledge of cancer disease and staging of cancer is required.
  • Requires knowledge of computerized cancer registry systems.
  • Demonstrates basic understanding of statistical values and analytical skills necessary to assimilate data and to assist in quality of patient care studies.
  • Demonstrates interpersonal skills sufficient to communicate in an effective, positive manner with staff members, physicians, and patients, patients' families, staff or other hospitals.
  • Demonstrates well developed communication skills to effectively communicate both verbally and in writing.

  • Mental / visual fatigue as a result of the constant and careful review of medical records.
