Description
The Executive Assistant serves as a key liaison and communication hub for the General Manager, Board of Commissioners, executive management team, and external partners. This position provides high-level administrative support on complex and sensitive matters, requiring independent judgment, accountability, and discretion. The Executive Assistant works closely with senior leadership to manage priorities, coordinate workflows, and ensure the effective operation of executive-level functions. Success in this role requires exceptional organizational skills, the ability to balance multiple demands, and strong interpersonal and communication abilities.
Examples of Duties
Duties may include, but are not limited to the following :
- Provide executive-level and confidential support to the General Manager, Senior Staff, and Board of Commissioners.
- Prepare agendas, packets, meeting materials, and other documentation for Board of Commissioners and staff meetings, ensuring accuracy and timeliness.
- Coordinate with senior managers and the Communications Department to publish and distribute meeting notices in compliance with the Open Public Meetings Act.
- Arrange, schedule, and coordinate travel, training, and related activities for the General Manager, Commissioners, and District staff.
- Review Board actions and ensure appropriate notifications are issued; authenticate and maintain resolutions, contracts, and other public documents in compliance with state law.
- Record documents with the Klickitat County Auditor as required.
- Manage the flow of information and communications to and from the General Manager's office, prioritizing issues and providing necessary background materials.
- Maintain the General Manager's calendar by scheduling meetings, appointments, and visits.
- Research and compile materials, reports, and correspondence to support decision-making and Board activities.
- Serve as liaison on confidential matters, maintaining records and files in accordance with District confidentiality standards.
- Provide administrative support to multiple departments across the PUD as needed.
- Stay current on Washington State RCWs and WACs related to public records and open meetings; serve as the alternate Public Records Officer and assist with disclosure requests.
- Keep the General Manager informed of significant matters requiring attention or action.
- Draft, edit, and proofread correspondence, forms, and reports.
- Collect, analyze, and summarize data to prepare reports for the General Manager or Board of Commissioners.
- Conduct research and information gathering on behalf of executives and prepare summaries and recommendations.
- Build and maintain positive, professional relationships at all levels of the organization.
- Apply discretion, judgment, and organizational knowledge to facilitate executive activities while maintaining strict confidentiality.
- Coordinate the use of District meeting facilities.
- Respond promptly and professionally to inquiries from customers, vendors, employees, and community stakeholders.
- Provide miscellaneous assistance to other departments and perform additional duties as assigned.

Associate's degree in administrative support, business management, public relations, or related field is required.Minimum of five (5) years' experience of progressively responsible executive or managerial administrative support and / or office management experience is required.Public sector experience is desirable.A Washington State valid driver's license is required.May be required to obtain Notary Public License.OR-Any combination of education and experience provides the knowledge, skills, and ability required to perform the job.

While performing the duties of this job, the employee is regularly required to talk or hear.This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stoop, as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.The work schedule is comprised of 40 hours per week, Monday through Friday.
