Position Summary :
Are you a friendly, organized, and compassionate individual who enjoys helping others? Family Medicine Austin is looking for a Medical Receptionist & Referral Coordinator with a Call Center focus to join our growing healthcare team.
In this essential hybrid role, you'll be the first point of contact for our patients — both in person and over the phone. You’ll assist with appointment scheduling, insurance verification, referral coordination, and ensure smooth communication between patients and healthcare providers. Your professionalism, attention to detail, and welcoming demeanor will help create a seamless and supportive healthcare experience for every patient.

Key Responsibilities :
Front Desk & In-Person Patient Interaction :
- Open and close the clinic daily; perform office readiness procedures.
- Greet patients warmly and manage check-in / check-out processes.
- Collect and verify patient demographics, insurance cards, and co-payments.
- Provide Connected Minds tablets during visits in accordance with protocol.
- Maintain a clean and welcoming patient waiting area.
- Replenish refreshments and ensure a positive front-desk environment.
Call Center & Patient Communication :
Answer incoming calls in a courteous and professional manner.Schedule and confirm appointments; manage provider calendars.Respond to patient inquiries regarding medical records, services, insurance, and office policies.Route messages appropriately through the EHR to medical assistants or providers.Follow up with patients regarding appointments, care instructions, or documentation.Referral Coordination :
Manage incoming referrals and track the status to ensure timely patient access.Coordinate with specialists for appointment availability and care continuity.Verify insurance eligibility and obtain required authorizations.Document referral details accurately in the electronic health record.Collaborate with clinical staff to resolve issues or delays related to referrals.Administrative & Operational Support :
Monitor and respond to patient portal messages, voicemails, and texts.Assist with billing inquiries and route communication appropriately.Track daily no-shows and cancellations.Support internal communication threads (e.g., billing, clinical, leadership).Travel between FMA locations as needed for coverage.Qualifications :
High school diploma or equivalent; associate degree or medical admin training is a plus.Prior experience in a medical office, call center, or healthcare setting preferred.Knowledge of medical terminology and insurance processes is advantageous.Exceptional communication skills — both written and verbal.Proficient in using EHR systems (e.g., eClinicalWorks) and Microsoft Office Suite.Ability to multitask effectively and maintain attention to detail under pressure.Strong organizational skills and a patient-first mindset.Why Join Family Medicine Austin?
