To further the company's mission to create best-in-class real estate projects including outstanding satisfaction and service for its residents, they have engaged us to find a Facilities Director.
Position
The Facilities Director (Director) oversees the management and execution of all preventative and ongoing maintenance (including fast unit turns of 5-12 days), vendor management and bidding, critical document compliance and emergency event coordination. The ideal candidate will bring deep technical as well as strategic oversight expertise, providing facilities maintenance guidance, capital planning support and technical troubleshooting abilities.
Reporting to the Co-Chief Operating Officer, the Director is responsible for the above activities for seven Class A multifamily properties and two lease up properties, with 4,500 units and another 1,500 in the near-term pipeline, in the Philadelphia metropolitan area, North Bergen NJ, and the Washington, DC metropolitan area.
The Director will co-manage the eight onsite Maintenance Supervisors at each property (the General Manager of each property directly manages the Supervisors). The Director will also bring strong leadership skills, motivating and supporting the team, while maintaining a culture of accountability and professionalism.
Responsibilities
Overall, the Director is responsible for developing, defining and executing the rental pricing strategies and serving as the subject matter expert for revenue management.
Critical Document Compliance :
oversee compliance and inspection preparation for 30+ annual licenses required for each of Post Brothers' (13) operating properties as well as any required intermittent licensing such as 5-year lead testing.
Vendor Contracting Management, Budgeting & Bidding :
ensure the timely and organized bidding process, contract execution, and high-level oversight of 3rd party vendors such as landscape, pool, base building plumbing and sprinkler contractors. Implement strict 3rd party spending approval process to ensure no runaway 3rd party spend occurs at the property level. Assist the Co-COO with the budgeting and planning for the maintenance needs for each property.
Preventative Maintenance :
oversee all maintenance and facilities staff. Champion the planning and implementation of preventative maintenance programming for all building systems, in particular HVAC systems. Coordinate budget constraints with Co-COO.
Management of All Maintenance Staff
provide leadership, mentorship, and technical assistance to all maintenance supervisors. Recruits, hires, and trains new maintenance personnel. Address performance issues swiftly and decisively. Research, plan, budget, and implement continued training for techs and supervisors to improve skills and render increased cost savings and resident satisfaction.
Resident Satisfaction
in collaboration with Property Managers and Maintenance Supervisors, ensures the highest level of resident satisfaction and leasing "showability" through quality assurance of the following :
All work orders are completed to satisfaction within 48 hours and all apartment unit turns are completed and turned on budget within 7 days
Emergency Event Coordination
champions emergency vent preparation, planning and training among all property staff. Responds on site to all major emergency events such as flood and fire.
