Overview

Position Title : Records and Information Governance Specialist

The Information Governance Specialist plays a vital role in supporting the Information Governance Program by ensuring compliance with policies relating to privacy, confidentiality, and records management. This position is responsible for managing physical and electronic records throughout their full lifecycle, assisting with data clean-up and migration, facilitating file transfers and staff transitions, and providing guidance on records and information governance processes.

Essential Duties and Responsibilities

  • Classify, organize, and manage physical and electronic records from intake through disposition in compliance with firm policies.
  • Coordinate file transfers and ensure secure delivery for client transitions.
  • Review, clean up, and assist with migration of unstructured data.
  • Maintain data integrity by tracking metadata, folder structures, and records databases.
  • Support litigation hold processes by assisting with record holds and updates.
  • Assist in training staff on document and records management systems.
  • Maintain file storage areas and assist with inventory management.
  • Track invoices and vendor activities related to off-site storage.
  • Participate in audits, compliance reviews, process improvements, and special projects as assigned.

Education and Experience

  • Bachelor's degree in information management, library science, or related field, or equivalent professional experience.
  • Minimum of 3–5 years' experience in records management or information governance, preferably within a law firm or professional services environment.
  • Demonstrated understanding of records lifecycle management, compliance requirements, and policy implementation.
  • IGP Certification a plus
  • Skills and Competencies

  • Strong technical skills
  • Experience with information governance tools such as iManage and records management systems.
  • Strong analytical and data management skills, including ability to interpret complex data sets.
  • Excellent written and verbal communication skills.
  • High level of organization, attention to detail, and ability to multitask effectively.
  • Discretion and commitment to maintaining confidentiality and privacy standards.
  • Self-motivated and able to work independently in a fast-paced environment.
