Senior Records Manager
We need an experienced Senior Administrative Support professional with a focus on Records Management to support the U.S. Trade and Development Agency (USTDA). USTDA helps advance overseas infrastructure projects that create opportunities for U.S. exports while supporting jobs at home. In this role, you will serve as the Agency's primary point of contact and technical expert for records management, ensuring compliance with the National Archives and Records Administration (NARA) policies and USTDA's internal requirements. You will oversee the creation, organization, storage, archiving, and disposition of agency records, manage the Central Agency Files, support electronic records systems such as SharePoint and TDAMIS, and provide training and guidance to USTDA staff on records management best practices. Responsibilities
- Maintain USTDA's Central Agency Files (CAF), including receiving, scanning, labeling, organizing, circulating, and integrating official documents into the database
- Serve as the primary point of contact for records management, establishing filing procedures, ensuring access control, and applying quality control and retention policies
- Convert agency hard-copy files into electronic records, including reports, project documents, and invoices, for inclusion in management systems and databases
- Act as USTDA's Records Custodian and technical expert, liaising with NARA to ensure compliance with federal archiving and disposition requirements
- Support the Records Management Officer (RMO) in drafting reports, modifying record schedules, and implementing federal records management standards
- Advise on and establish schedules for electronic records and email to ensure identification, disposition, and transfer meet NARA standards
- Inventory, organize, and schedule annual transfer of agency records for storage or archiving, while maintaining accurate inventories and updating plans bi-annually
- Conduct semi-annual agency-wide records management clean-up efforts, including staff training on policies, procedures, and best practices
- Provide onboarding and offboarding records briefings, certifications, and exit interviews to ensure proper management and transition of employee records
- Input, update, and verify records data in USTDA's Information Management Systems (e.g., SharePoint, TDAMIS), supporting system testing, problem resolution, and upgrades
- Run data reports from information management systems as requested by leadership
- Maintain USTDA's library holdings database of project / program reports, segregating public and confidential reports, and provide semi-annual holdings analysis reports with executive summaries for publication
