Job description
The mission of The University of Texas M. D. Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research, and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.

The primary purpose of the Cancer Center Support Grant (CCSG) Program Manager position is to provide administrative and grants management support for the Cancer Center Support Grant (CCSG), an award from the National Cancer Institute (NCI) that provides MD Anderson with NCI designation as a Comprehensive Cancer Center and funding for research infrastructure of over $10M annually. The CCSG comprises 9 Research Programs with more than 1,000 faculty members, 10+ Shared Resources, and multiple other components. It is led by the MD Anderson Senior Vice President & Chief Scientific Officer (CSO) who also serves as the Principal Investigator of the award. The CCSG Program Manager will aid administration in programmatic development, administrative management, and support for strategic development related to all components of the CCSG. The CCSG Program Manager develops and implements administrative processes and procedures to ensure efficient management of the CCSG. The position impacts day-to-day operations related to the CCSG, annual deliverable requirements including an annual progress report (RPPR) an annual External Advisory Board meeting, and the competitive renewal process that occurs every 5-7 years. The ideal candidate would have a track record of exceptional written and oral communication skills, cultural sensitivity, demonstrated diplomacy skills, exceptional organizational skills, research administration experience (preferably with the CCSG), demonstrated ability to manage deadlines and pivot quickly to meet evolving needs, and adeptness at communicating with leadership across a large organization.

The ideal candidate will have experience working with Cancer Center Support Grant (CCSG)-related activities and demonstrated expertise in managing large and complex data sets. A strong background in research administration, particularly in both pre- and post-award processes, is highly desirable. Familiarity with pre-award management systems and advanced Excel skills (, pivot tables, VLOOKUP, data visualization) is preferred. The candidate should also have a proven ability to collaborate effectively with senior leaders and stakeholders within a large, complex organization, exercising sound judgment, discretion, and strong communication skills.

Key Functions

CCSG Daily Operations
  • Ensures alignment with evolving guidelines and expectations for the NCI CCSG including, but not limited to, the current funding announcement, data guidelines, and definition of peer-reviewed funding sources
  • Responsible for membership management including annual review of membership, coordination of application process, tracking membership history, and membership guidelines management/implementation

· Responsible for data collection and management, including information related to membership, publications, grants, clinical research studies, shared resource usage, and related metrics
  • Responsible for data analysis: Analyzes and compiles key metrics (publications, grants, membership, shared resource usage and other research productivity information) required for program leaders in the assessment of scientific impact and monitoring of critical program metrics
  • Responsible for upkeep of current DT1a-c
  • Works closely with the Associate Director, Analytics and Decision Support and the CCSG Data Scientists to maintain and report current membership and grant funding data (DT2)
  • Produces reports and updates of CCSG data upon request
  • Conducts analysis and interpretation of CCSG data
  • Leads the development and implementation of enhanced administrative processes and tools for efficient collection, management, analysis and reporting of CCSG data in partnership with various departments and groups across the institution
  • Leads and directs special projects as needed to support CCSG initiatives and the work of the CCSG Executive Leadership team related to the planning and development of CCSG renewal applications
  • Serves as the primary point of contact between CCSG Administration and CCSG leaders, and communicates with CCSG leaders regarding needs and deliverables
  • Monitors the CCSG inbox with other team members and responds in a timely manner to all emails within their scope of responsibility
  • Takes detailed minutes of meetings and ensures follow-up on action items as needed
  • Manages developmental funds and research pilot award programs as needed
  • Works closely with CCSG team members and MD Anderson Office of Sponsored Programs (OSP) to create Click records for new internal funding awards and CCSG supplements
  • May be expected to attend and/or present at national CCSG-related meetings


CCSG Progress Report

· Working closely with the Executive Director for CCSG Administration, the Associate Director for Analytics and Decision Support, and Associate Vice President (AVP) for Programs, Infrastructure and Planning establishes and visualizes timeline of deliverables to produce and submit the annual CCSG progress report (RPPR)

· Establishes and tracks checklist of documents required for the progress report

· Establishes and maintains the file folder workspace for the annual progress report ensuring access for key stakeholders

· Organizes progress report kickoff meetings for section authors and prepares guidance material, instructions and templates for distribution, ensuring that current CCSG guidelines and NIH requirements are followed

· Prepares presentation materials for leadership meetings related to CCSG progress report deliverables, timelines, and processes

· Is responsible for trafficking and archiving drafts, ensuring review processes are in place and followed, and that final drafts are received and ready for finalization.

· PDFs all final document versions and is responsible for accurately uploading final documents

· Works closely with CCSG supplement PIs on progress report needs for their projects

· Prepares DT1a-c for submission

· Works closely with MD Anderson Grants and Contracts Department and CCSG Data Scientists to generate a correctly formatted DT2 for submission aligned with latest data guides

· Works with the Cancer Registry department to receive DT3 data and formats DT3 for submission

· Works closely with Clinical Research Administration to finalize DT4 for submission

· Works closely with Director, Office of CCSG and ERD Administration to finalize DT5 for submission

· Submits progress report through ASSIST and works closely with OSP, the Executive Director for CCSG Administration, the AVP for Programs, Infrastructure, and Planning, and the CCSG PI to resolve any issues, ensuring an error-free submission.

· Responsible for generating and submitting all required e-data tables

CCSG Annual External Advisory Board (EAB) Meeting
  • Works closely with the Executive Director for CCSG Administration, the AVP for Programs, Infrastructure & Planning, and the CCSG & ERD Program Manager overseeing the EAB meeting to ensure data and formatting of data is aligned with evolving guidelines and expectations for the NCI CCSG
  • Provides updated data, data analysis, and documentation as needed for the EAB meeting
  • Supports the CCSG & ERD Program Manager in planning and executing EAB meeting logistics as needed


CCSG Competitive Renewal

· Working closely with the Executive Director for CCSG Administration, the Associate Director for Analytics and Decision Support, and AVP for Programs, Infrastructure and Planning, establishes and visualizes timeline of deliverables to produce and submit the annual CCSG progress report (RPPR)

· Establishes and tracks checklist of documents required for the progress report

· Ensures that accountability for all requirements of the renewal application are defined early in the process and communicated along with timelines to those individuals

· Establishes and maintains the file folder workspace for the competitive renewal ensuring access for key stakeholders

· Organizes competitive renewal kickoff meetings for section authors and prepares guidance material, instructions and templates for distribution, ensuring that current CCSG guidelines and NIH requirements are followed

· Prepares presentation materials for leadership meetings related to CCSG renewal deliverables, timelines, and processes

· Is responsible for trafficking and archiving drafts (including narratives and attachments), ensuring review processes are in place and followed, and that final drafts are finalized.

· PDFs all final document versions and is responsible for accurately uploading final documents

· Works closely with MD Anderson Grants and Contracts Department and CCSG Data Scientists to generate a correctly formatted DT2 for submission aligned with latest data guides

· Works with the Cancer Registry department to receive DT3 data and formats DT3 for submission

Education
Required: Bachelor's degree.

Preferred: Master's Degree

Experience
Required: Five years related experience to include three years program management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience.

Preferred: At least 10 years in providing administrative support to executive/senior leaders of large organizations, meeting coordination, event planning and execution. Project management experience. Strong organizational skills and demonstrated expertise with computer software. Ability to process large amounts of information quickly. Experience working in a team environment. CCSG experience. Experience working with large datasets
