The Administrative Program Specialist is responsible for supporting employees and program leadership in key administrative, financial, and government-interface processes. This role ensures accuracy, compliance, and timeliness across expense reporting, government form submission, and procurement coordination. This position supports a field team (over 40 personnel) located in the US, internationally, and on deployed ships.

Primary Responsibilities
Prepare, review, and submit employee business expense reports in accordance with company policy and customer requirements.Ensure accuracy of cost allocations to the correct projects, tasks, and funding lines.Expediate reimbursement timeliness through proactive follow up and issue resolution.Coordinate with Finance and Program Management to ensure proper invoices to our government customer and budget tracking.Assist employees in completing various government required forms and access requests with a high level of accuracy.Review submissions for completeness and compliance with government standards.Coordinate with government customer representatives to ensure timely authorization and expedited access approvals.Maintain tracking and documentation of all requests to support audits and program readiness.Serve as a liaison between employees, government customers, and government buyers throughout the procurement process.Initiate and submit requisitions, ensuring accurate details, funding information, and required justifications.Obtain and document all necessary approvals for procurement actions.Track orders from requisition through authorization, purchase, shipment, and receiptincluding items delivered to global locations.Maintain transparent communication with all stakeholders to ensure timely delivery and issue resolution.Basic Qualifications
The Administrative Program Specialist must have a minimum of a high school diploma or equivalent with 1 or more years' work experience in administrative support, business operations, finance, or government program support.Active DoD Secret security clearance of the ability to obtain a Secret security clearance within 180 days from the start date of employment.Experience completing or reviewing expense reports, financial forms, or similar documentation.Proven attention to detail to ensure accuracy in cost allocations, forms, and submissions.Experience interpreting and follow government or organizational policies, procedures, and instructions.Strong written and verbal communication skills, with the ability to professionally interact with employees, managers, and government customers.Experience multiple tasking simultaneously and meeting deadlines in a fast-paced environment.Ability to maintain confidentiality of sensitive financial, personal, and government related information.Preferred Qualifications
Experience with Microsoft Office Suite. And the ability to learn internal system quickly.Knowledge of Joint Travel Regulations (JTR)Active DoD Secret security clearance.
