The ideal candidate will have strong experience in calendar management, scheduling meetings, and coordinating logistics across multiple stakeholders. This role requires excellent communication skills, the ability to multitask in a fast-paced environment, and a proactive approach to problem-solving.
Key Responsibilities
Manage complex calendars for executives or team members, including scheduling meetings, appointments, and conference calls.
Coordinate internal and external meetings, ensuring all logistics (rooms, technology, agendas) are handled efficiently.
Prioritize and manage scheduling conflicts with sound judgment.
Maintain and organize documents, files, and records.
Prepare and edit correspondence, reports, and presentations as needed.
Assist in planning and organizing team events, travel arrangements, and office activities.
Serve as a point of contact for internal teams, clients, and external partners.
Track deadlines, follow up on action items, and ensure timely completion of assigned tasks.
Support daily administrative operations to enhance team productivity.
Handle confidential information with discretion.
Required Qualifications
2+ years of administrative or office support experience.
Proven experience in calendar management and scheduling for leaders or teams.
Strong organizational and time-management skills.
Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) or Google Workspace.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and priorities in a dynamic environment.
Strong attention to detail and problem-solving skills.
