Position Overview :
We are seeking a friendly and organized Receptionist / Administrative Assistant to be the first point of contact for our agency.
As a Receptionist / Administrative Assistant, you will play a key role in providing administrative support, managing inquiries, and ensuring smooth office operations.
Location :
This position is based at our office in Norman, Oklahoma.
Hours of Operation :
M - F 8am - 5pm, Lunch Hour 12 : 30 pm - 1 : 30 pm

Responsibilities
- Greet clients and visitors in a warm and professional manner, directing them to the appropriate person or department.
- Answer incoming calls, take messages, and route calls to the appropriate team member.
- Manage the agency's email inbox, responding to inquiries and forwarding messages as needed.
- Assist with general administrative tasks such as filing, scanning, and data entry.
- Schedule appointments and maintain calendars for team members.
- Assist with ordering office supplies and maintaining inventory.
- Support other team members with various projects and tasks as needed.
Requirements
- Previous experience in a receptionist or administrative assistant role is preferred but not required.
- Excellent interpersonal and communication skills, with a positive attitude and customer service orientation.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Bilingual in Spanish proficiency is a plus, but not required.
