About The Welsh Academy : As a part of Saint Ignatius High School, and partnering with local families and the local community, The Welsh Academy offers boys entering the sixth grade from the City of Cleveland and inner-ring suburbs an opportunity for an educational experience rooted in Jesuit ideals and Catholic theology. The academy serves young adolescents in grades six through eight. Prospective students and their families of modest economic means who know that a high-quality education can change the trajectory of a life. Families choose The Welsh Academy because it offers opportunities to more fully prepare their sons for high school. The Welsh Academy school day is longer, which allows for more time for relationship building, preparation for the academic rigors of high school, and a learning environment that meets the needs of boys and how they learn best. Families who enroll their boys must be of moderate economic means. Boys who attend the academy must demonstrate academic promise and a personal commitment to their education. Enrollment in The Welsh Academy allows them to develop their talents in a diverse, safe, empowering, and academically rigorous school community.

About the Position : The Welsh Academy is seeking an exceptional individual to join our team as Administrative Operations Coordinator for the Welsh Academy. This role is a unique blend of Executive Assistant to the Principal, Administrative Assistant to a dedicated team of educators, and Operations Coordinator for a growing, mission-driven middle school. This individual must have a positive mindset, and must be organized, difficult to unnerve, caring, and detail-oriented. This individual must enjoy working with people of all ages and backgrounds. The individual who joins us must have a high proficiency in communicating in the Spanish language. We’re looking for someone who is deeply mission-aligned, and excited to be at the heart of a dynamic school community.

The Administrative Operations Coordinator is a central member of The Welsh Academy team and will report directly to the Principal. This is a full-time, year-round position (7 : 00 AM – 5 : 00 PM) with a competitive salary and excellent benefits. Some evening and weekend hours will be expected based on the school calendar and events.

The individual who joins us must have :

  • A core belief in the mission and guiding principles of The Welsh Academy in addition to the works of and teachings of St. Ignatius of Loyola.
  • Experience in the development and support of a school culture in which faith-formation is primary.
  • Experience working successfully with students, families, and colleagues of diverse backgrounds.
  • A high level of self-motivation, enthusiasm, and a high degree of self-awareness.
  • A high level of organization and attention to detail.
  • An understanding of community resources as well as experience cultivating community and family relationships.

Executive Administrative Assistant and Operations Coordinator’s Primary Areas of Responsibility :

  • Executive Support Communicate the Guiding Principles of the Welsh Academy through interactions with prospective families, Welsh and Saint Ignatius Community Members, and community members of Greater Cleveland.
  • Draft and edit Parent Square communications, articles, reports, and presentations, and transcribe meeting notes.
  • Support the Principal in scheduling, day-to-day and long-term management of meetings and projects.
  • Office Management and School Operations

  • Serve as the primary point of contact with student transportation companies.
  • Act as a member of the Welsh Academy School Safety and Security Team.
  • Generate and mail report cards, progress reports, and transcripts in collaboration with the Technology Team.
  • Maintain and update student records including biographic, schedule, test score, grade and transcript information.
  • Maintain assigned projects for the purpose of completing activities, admitting and retaining students, facilitating school programs, managing building usage and / or delivering services in a timely fashion.
  • Maintain daily attendance reports for the building and State of Ohio.
  • Manage phone, email and postal mail inquiries and appropriately respond.
  • Support the logistics of Welsh Academy events.
  • Family and Student Support

  • Assess students and coordinate with the school nurse concerning student medical documentation and care.
  • Create in a bilingual manner, a welcoming, friendly, helpful environment and provides high quality service and assistance to all students, parents, teachers, staff and visitors.
  • Lead family communications through the ParentSquare Portal.
  • Work with families to help support them in the transition to the academy.
  • Cross Team Administrative Support

  • Assist in preparation and updates of the annual calendar.
  • Compile data for the purpose of preparing reports and responding to various inquiries for the purpose of complying with financial, legal, and administrative requirements.
  • Prepare faculty substitutions and stipends for Principal and Finance Office approval.
  • Organize purchase approvals for the Principal with Finance Office.
  • Work with school personnel to prepare approved orders for purchase.
  • Work with vendors to purchase and manage student uniform inventory.
  • Undertake other responsibilities as assigned.
  • An individual joining The Welsh Academy must be committed to working in a collaborative structure with fellow faculty, parents, and members of the academy, high school, and community at large.     The successful candidate will also possess the following :

  • Advanced knowledge of CRMs, Microsoft Office, GoogleDocs, and database management. Understanding of ParentSquare is a plus.
  • A high level of confidentiality.
  • Willingness to engage in personal education and faith development.
  • Collaborative spirit, innovative approach, reflective in nature, positive and engaging energy.
  • Ability to maintain focus and complete tasks regardless of frequent interruptions.
  • Ability to disseminate information clearly and concisely.
  • Excellent communication skills (oral and written) in English and Spanish will have strong knowledge of standard front office procedures and operations, including proper telephone and e-mail etiquette.
  • Openness to growth.
  • Qualifications : A Bachelor’s degree in Education, Business Administration, Communications / Marketing or other related fields.
  • Bilingual, proficiency required : reading, writing, and verbal communication in Spanish.
  • Five or more years of work experience.

    About Saint Ignatius High School :

    Saint Ignatius High School, which opened its doors September 6, 1886, is a Jesuit college-preparatory school. The school enrolls more than 1,500 young men who hail from 96 cities in a nine-county region.

    Academically, Saint Ignatius is a regional and state leader in National Merit finalists. To challenge students and prepare them for college, the Saint Ignatius curriculum offers 24 Advanced Placement (AP) and 25 honors courses.
