Job Summary & Essential Functions

  • Input all required new employee information into both business and payroll systems; update current employee information, including changes of address, rate, position, and related data, in timely manner
  • Review daily time entry from system for nonexempt workforce, distributing, and accumulating signed forms from managers
  • Preparation and review of biweekly payroll
  • Reconcile any discrepancies to ensure employees are paid correctly and time is charged correctly; ensure employees complete time sheets for any time not recorded in the business system (e.

g. vacation, sick, funeral leave, unpaid, etc.)

  • Ensure that information is entered and coded correctly for payroll, provide details, and backup, as necessary for monthly reconciliation by finance to the General Ledger
  • Coordinate processing of department documents and provide day-to-day administrative support for department.
  • Responds to internal and external HR related inquiries or requests and provides assistance
  • Conduct new hire orientations, including proper completion of all required paperwork
  • Monitor and coordinate process to maintain training data base, including setting up class schedules, entering test results, and proctor-specific training classes
  • Assist in updating employee insurance enrollments for medical, dental, and vision plans; via input on insurance company web sites
  • Assist in preparing documents and coordinating, distribution and collection, of all benefits enrollments
  • Maintain company bulletin boards with regard to posting of corporate news and business updates, new business opportunities for Pittsburgh facility, personnel announcements, job postings, and similar information to ensure that employees remain informed of all relevant activities
  • Maintain all files / reports related to payroll and human resources, including vacation availability for salary exempt personnel, bar code exception report for nonexempt employees, monthly personnel headcount report, benefits, and personnel files for all employees
  • Assist with recruiting activities for nonexempt personnel; including scheduling interviews and follow-up with hiring managers
  • Prepare and post information regarding open positions within the company; coordinate with department managers to ensure that procedures are followed
  • General administrative duties including overseeing correspondence, maintaining project files and schedules, and entering, retrieving and analysis of various information
  • Interact and partner with other departments and provide internal / external customer support
  • Perform other assignments as required

  • Proficient with ADP Workforce Now
  • Familiar with a variety of the field's concepts, practices, and procedures
  • Excellent organizational skills and ability to multi-task
  • Intermediate level of computer proficiency
  • Able to work with a high level of accuracy in a fast-pace work environment
  • Problem-solving and prioritization skills
  • Strong work ethic with a positive attitude
  • Strong analytical skills

Required Experience & Education

  • High School diploma required; associate’s degree strongly preferred
  • 1+ years of related experience required
  • 1+ years of processing payroll in ADP Workforce Now
