As the Extension Relations Coordinator , you'll play a central role in supporting Council leadership and partners by coordinating scheduling, agendas, documentation, and travel, as well as leading logistics for Council's participation in major Extension convenings. Responsibilities include managing registration, promotions, vendor and venue coordination, and on-site event support. Reporting to the Director, Extension Relations, this role ensures consistent, accurate, and timely operations that strengthen connections across the 4-H system.

Position Summary

National 4-H Council is seeking an Extension Relations Coordinator to provide essential coordination and logistical support, strengthen relationships with internal and external stakeholders, and ensure seamless execution of meetings and events. Reporting to the Director, Extension Relations, this new position leads scheduling, agenda development, and documentation for key internal and external stakeholder meetings, including those involving Council leadership and regional partners. In addition, the role serves as the logistics lead for Council's participation in major Extension (4-H Network) convenings and events including registration and reporting, event software management, promotional planning across multiple channels, vendor and venue coordination, and onsite event support requiring travel.

Essential Functions

Stakeholder Administrative Support

  • Assist with preparing presentations, one-pagers and other communications as needed for the Extension Relations Team.
  • Coordinate scheduling, agendas, meeting notes and follow up for a variety of internal and external meetings including Council's teams of liaisons and staff ambassadors to 4-H leaders and programs nationwide.
  • Coordinate and schedule internal team and other cross-functional team meetings.
  • Prepare and submit expense reports on behalf of the Chief Strategy Officer, Vice President and Director as needed.
  • Manage all aspects of team and contractor travel.
  • Ensure timely payment of vendors and contractors supporting team work.

Extension Events & Convenings

  • Serve as the logistical coordinator for Council's participation in a portfolio of major Extension events and meetings throughout the year.
  • Establish event project plans and tracking through Asana or other project management tracking programs.
  • Support event operations, including registration management, reporting, and technical assistance.
  • Assist with event set-up including tables, software setup / troubleshooting, and engaging with event attendees.
  • Help execute promotional plans through email, social media, the website, and Council newsletters.
  • Serve as the primary point of contact with the event venue, selecting and managing catering, audio visual and room set up needs with the venue and event planning.
  • Coordinate the procurement and shipping of event materials and supplies, pre and post event.
  • Process and track vendor payments to ensure timely payment.
  • Provide onsite event support (travel required).
  • Minimum Qualifications

  • Must have a High School Diploma, a GED, or equivalent combination of relevant work experience and training.
  • Two years of relevant administrative or logistical support, which may include coordination of meetings, travel, and / or events with the proven capacity to successfully manage and execute projects in a professionally innovative and creative manner.
  • Required Qualifications

  • Experience with relevant administrative, event logistics, or marketing / communications experience.
  • Proficiency with Microsoft suite including Outlook, Word, Excel, and PowerPoint.
  • Knowledge of online meeting platforms such as Zoom, Google Meet or MS Teams.
  • Strong organizational skills with the ability to manage multiple priorities, work quickly, and accurately under deadlines.
  • Strong written and verbal communication skills. Experience drafting communications and correspondence to engage key audiences, as well as internal and external stakeholders effectively.
  • Demonstrates a strong customer service focus by actively listening to needs, resolving issues efficiently, and ensuring a positive and professional experience in every interaction.
  • Excellent attention to detail.
  • Ability to adapt quickly and lead with a customer service-based approach.
  • Preferred Qualifications

  • Experience with 4-H or University Cooperative Extension preferred (participant, volunteer or professional).
  • Ability to support multiple team members, including executives, with coordinating and managing travel arrangements.
  • Strong problem-solving and critical thinking skills.
  • Bachelor's Degree in marketing, communications, non profit management, or a related field.
  • Travel Requirements : Standard business hours with travel up to 30% (local, regional, national). Travel may take place during nights and / or weekends. Ability to work events and extended hours as needed.

  • This is a somewhat physical role which requires the person to move about crowded events spaces, including table set up and breakdown.
  • Role routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets and fax machines.
  • Requires the ability to lift files, open filing cabinets, and bend or stand as necessary.
  • Basic math skills needed to calculate formulas, discounts, and so forth.
  • Must be able to lift and carry up to 20 pounds.
