Reporting to the Collection Manager, the Collection Assistant will support staff across the museum in the documentation, assessment, care, and preservation of objects in the art collections. The Collection Assistant plays a vital role in supporting the processing, inventory, and stewardship of museum objects.
ESSENTIAL RESPONSIBILITIES
- Inventory of the collection
- Conduct routine condition reports of collections objects.
- Conduct routine examination of collection storage and maintain appearance, organization, and safety standards (i.e : pest management, leaks, lighting needs)
Maintain the appearance of permanent collections objects on exhibit through a regular process of dusting or other appropriate care.
Assist with processing of new gifts, acquisitions, deaccessions, and disposalsSupport database management needs :Verifying and update locationsCreate object and activity recordsUpdate cataloguing content – dimensions, inscriptions, media, descriptions and other key metadataUploading new research into the databaseUploading conservation photography, reports, research & documentationAssists in identifying proper classification / flags & updating records for better search results including identifying and listing culturally sensitive objects needing attention.Create reports & lists as neededAssists with collection management projects such as object assessment, identification, and storage reorganization,Numbering objects, correcting antiquated numbering systems and errors.Assign / correct storage locations (i.e. : shelves / racks / boxes etc.)Image documentation : Create or update digital profiles in the museum’s CMS, digitize analog records, and capture high quality digital images of objectsImproving physical housing (creation of custom storage and boxes)Research and reconciles collection objects; including but not limited to processing objects that are found in collection, INV, non-accessioned objects in collection, orphaned objects & objects for deaccessioning.Assist with volunteer & intern projectsAssist with art handling and installation as neededOversee logistics of contract conservation needsProvide general support to the Department as neededOther duties as assignedMINIMUM QUALIFICATIONS AND EXPERIENCE
Education and Experience :
Bachelor's degree in museum studies, art history, fine art, history, library science, or a related field and a minimum of two years’ experience in a museum or gallery environment.
Skills and Abilities :
Proven experience in collection management and art handling, preferably within a cultural heritage institution.Proficiency with collections management software and cataloging standards.Strong attention to detail and accuracy.Good interpersonal skills and willingness to work as a team.Time management skills.A positive attitude that supports museum goals.
