Records Management Office Specialist (Office Specialist 2)

The Oregon Health Authority (OHA), Public Health Division (PHD), Center for Health Statistics section in Portland, Oregon, is currently seeking a Records Management Office Specialist.

As a Records Management Office Specialist, you will evaluate and process vital records to verify compliance with legal requirements for registration in the state vital records system. You will perform quality assurance reviews to ensure that vital record information adheres to established state and national data standards and prepare records for preservation in accordance with state archival standards. This role also involves providing office and administrative support, including filing vital records, distributing forms to partners, and handling general office tasks such as sorting and distributing mail for the Records Management Program and the Center for Health Statistics.

Minimum Qualifications : These qualifications must be visible in your application for consideration.

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents. OR
  • An associate degree in any field. OR
  • An equivalent combination of education and experience.

  • Experience with records and information management, including reviewing records or documents for accuracy and completeness within established criteria.

  • Experience applying and explaining or clarifying laws, rules, policies, and procedures.

  • Experience in Word, Excel, Outlook, PowerPoint, Teams, Adobe Acrobat, and tracking or file management software.
  • Experience creating, promoting, welcoming, and maintaining a culturally competent and diverse work environment.

  • Employment is contingent upon a criminal records check and a driving records check that meets OHA criteria at the time of hire and throughout employment. The information in your application will be used to complete an Equal Pay Analysis to determine salary placement upon hire. The salary listed is the non-PERS qualifying salary range. If the successful candidate is PERS qualifying, the salary range will reflect the additional 6.95%. Agency does not offer visa sponsorship. Within three days of hire, applicants will be required to complete I-9 documentation and confirm authorization to work in the United States. OHA will use E-Verify to confirm that you are authorized to work in the United States.
