Pay : $20.00 - $25.00 per hour.

Job Overview :
We’re looking for a detail-oriented and compassionate Tenant Accounts Specialist to serve as the primary point of contact for tenants regarding rent payments, account ledgers, and third-party assistance programs. This role also requires effective communication with the Columbia Housing Authority (CHA) to ensure timely processing of inspections, payments, and documentation.
The ideal candidate will bring experience in property management, accounting, or collections and possess a balanced approach to precision and empathy. In this role, you’ll not only manage the details of tenant accounts but also assist tenants through financial challenges, ensuring a smooth, supportive experience for all parties.
Key Responsibilities :
- Tenant Account Management : Act as the primary liaison for tenants regarding their rent balances, account ledgers , and payment inquiries.
- Assist with Financial Resources : Guide tenants in accessing rental assistance programs and other available financial support options.
- Collections & Delinquencies : Oversee rent collections , account delinquencies , evictions , chargebacks, and periodic audits to ensure proper documentation and resolution.
- Third-Party Payment Processing : Accurately post third-party payments (e.g., Columbia Housing Authority ) to tenant accounts and verify all payment documentation.
- Collaborate with CHA : Maintain communication with CHA to relay inspection results and payment updates in a timely and professional manner.
- Property Coordination : Work closely with site managers and office staff to ensure smooth coordination and resolution of tenant account actions .
- Legal & Financial Documentation : Prepare and process legal documents related to evictions , payment agreements , and reimbursements .
- Security Deposit Returns : Ensure compliance with local laws for security deposit returns and other associated documentation.
- Property Owner Onboarding : Assist with the onboarding of new property owners and input property details into management software for seamless operation.
- Documentation & Compliance : Keep organized, up-to-date records (both digital and physical ) for all transactions, and ensure full compliance with relevant federal, state, and local housing laws .
- Tenant Communication : Respond promptly and professionally to tenant inquiries and concerns , addressing issues with empathy and clarity.
- Internal Procedures Development : Develop and maintain internal procedures and training documentation to ensure consistency in processes across the team.
- Emergency Response Support : Provide assistance in emergency response procedures when necessary, ensuring swift and appropriate action.
- Other Duties as Assigned : Take on additional tasks or responsibilities as required to support the property management team and operations.
Qualifications :
Strong interpersonal , communication , and organizational skills.Ability to handle sensitive situations with empathy and professionalism.Comfortable working independently and collaboratively within a team environment.Proficiency in Microsoft Office , Outlook , and property management software .Familiarity with housing assistance programs and rental compliance is a plus .High school diploma or GED required; additional education is a plus .Previous experience in property management , collections , or accounting preferred.Physical Requirements :
Ability to sit for extended periods (2+ hours).Occasional standing and walking around the office.Frequent computer work , phone usage, and document handling.Ability to manage multiple tasks simultaneously in a fast-paced environment .
