Summary
Logistics & Planning Coordinator plays a key role in managing Distribution schedules, coordinating deliveries, and supporting daily logistics operations. This position is responsible for ensuring on-time delivery of goods, resolving delivery issues, maintaining Distribution data, and providing clear and timely communication with internal and external stakeholders. The role includes proactive planning of loads, acting as a liaison with club store partners, and providing support for broader planning and operational initiatives.
Responsibilities
Communication & Issue Resolution
• Respond to duty desk phone calls and resolve frequent logistics issues, including shipment refusals and sales order adjustments.
• Serve as primary liaison to club stores and the ARTM team, ensuring high service levels and consistent delivery performance.
• Lead communication efforts in the event of delivery delays or rescheduling needs for club and ARTM accounts.
• Disseminate key operational updates to internal departments and external partners daily.
Distribution Scheduling
• Post the daily distribution bid.
• Schedule Drop & Hook (D&H) deliveries, including contacting outlets, locking in dock times, and updating team members on appointment confirmations.
• Execute daily planning for D&H load deliveries (comprising approximately one-third of all planning duties).
• Support bulk and route delivery (RD) planning on a back-up basis as needed.
• Ensure truck capacity is fully optimized and aligned with planning objectives.
Data & System Maintenance
Maintain backend logistics data including:
• Time windows and delivery scheduling details
• Monitoring and closing of open shipments; communicating with inventory team as necessary
• Geo-code and address updates in master data systems
• Updating delivery notes and related records
Operational Support
• Assist with ongoing operational projects as needed by the Distribution team.
• Help standardize and improve planning workflows to support organizational goals.
• Additional duties as assigned.
Qualifications
- High school diploma or equivalent required; Associate’s or bachelor’s degree in supply chain, Logistics, or Business preferred.
- 2+ years of experience in logistics, transportation planning, or customer service.
- Proficient in Microsoft Excel and logistics/ERP systems (e.g., SAP, Oracle, JDA, TMS).
- Strong communication and interpersonal skills.
- Detail-oriented with strong problem-solving capabilities.
- Ability to manage multiple tasks and adjust priorities in a fast-paced environment.
- Comfortable with both independent and collaborative work styles.
